Description of Work Name: Lighting Materials 2021 Aurora, IL Proposed Improvement: The City is looking to purchase street lighting materials including fixtures/luminaires, standards/poles, and bollards to be used at various projects and locations throughout Aurora. The specification sheets for the various materials are included with this RFB. Please note the following provisions regarding the anticipated contract award(s): o The final quantity of materials purchased may vary depending on unit pricing provided and may be purchased incrementally. o The City reserves the right to award or exclude from the award, any individual line item for which costs are requested. o The City also reserves the right to award any of the individual line items to separate bidders based on the lowest price provided for each individual item. This contract will be for materials only and will not include installation. Bidder Instructions. Any questions regarding this bid opportunity shall be submitted to the Director of Purchasing via email at purchasingDL@aurora.il.us by no later than Tuesday, July 20, 2021. Any questions received after this date will not be addressed via Addendum and will not be reflected in the project scope. 3. Bidders shall provide references on the form included in this bid. All Bidders, as a condition of and prior to entry into a contract, agree that a complete background investigation of the principals of the Bidder and all employees who will work on the project may be made. Bidders agree to cooperate with the City to supply all information necessary to complete these investigations. The City, in its complete discretion, may disqualify any Bidder, including low Bidder, and may void any contract previously entered into based on its background investigation. 4. The City reserves the right to waive technicalities and to reject any or all proposals as provided in Standard Provisions for Bidding Requirements and Conditions for Contract Proposals contained in the "Supplemental Specifications and Recurring Special Provisions". 5. Any bidder who owes the City money may be disqualified at the City's discretion. 6. The City encourages minority business firms to submit proposals and encourages the successful contract bidder to utilize minority businesses as subcontractors for supplies, equipment, services, and construction. 7. Submission of a bid shall be conclusive assurance and warranty the bidder has examined the plans and understands all requirements for the performance of work. The bidder will be responsible for all errors in the proposal resulting from failure or neglect to conduct an in-depth examination. The Awarding Authority will, in no case be responsible for any costs, expenses, losses or changes in anticipated profits resulting from such failure or neglect of the bidder. 8. The City of Aurora has a local preference ordinance that would apply to this contract.
