The Town of Chatham requests proposals from qualified professionals to install High Definition PTZ cameras, Video Switching Hardware, CG System and Audio Mixing capabilities to a government meeting room located at 702 Main Street, Chatham. The Town reserves the right to reject any or all proposals, to waive any informalities in a proposal, or to reject the applicant's choice of any sub-consultant or assigned staff if the awarding authority determines such actions to be in the best interests of the Town. The Large Meeting Room in the Community Center will be a secondary production site for Chatham Channel 18 Government TV. There will be integration of existing hardware, unrelated to video, noted in the Scope of Work The Large Meeting Room in the Community Center consists of a Large Meeting Room and an adjacent
Control Room. This site will be used as a production facility for digital recording of meetings and live
streaming over the internet. Live Broadcasts to Comcast Cable System from this location is a possible
future goal The ability to live broadcast and record meetings occurring in the large meeting room.
b. Upgrade existing A/V floor box inputs to HDMI, network, and XLR
c. Audio solution to integrate existing audio system. Ideally something like an Allen &
Heath Dlive. The XLR inputs in floor boxes will be utilized for back up.
d. HDMI or SDI feeds for possible future upgrade of adding monitors to the room or a dais.
e. Additional Shureflex microphones to compliment current wireless microphone system
f. Laptop connectivity via Clickshare or similar solution.
g. Upgrade to laser projection system. Laser projector in meeting room will display live
feed, HDMI hook ups from floor boxes, Clickshare, video conference feed.
Install Audio Mixer, Video Switcher, video server, redundant Hard drive video recorder,
camera controller, 2 rack mounted monitors (one with waveform), and integration of
existing reinforced audio system. Reinforced audio controls are currently in place.
On air light switch located in convenient location in Control Room.
Audio mixer will have features such as automated scene memory recall with scene
cross fades to bring up and down faders, automatic mixing, and talk back into large
meeting room.
Inputs in video switcher for large meeting room at minimum are 4 HD PTZ cameras, 1
input for Presentations, 1 input for Media Player or Video Conference. Additional inputs
for future expansion.
Minimum of two Channels of graphics for live cablecasts assigned to keys on switcher
with fade.
Installation of Compix for graphics.
Install one flat screen for audience viewing of live feed or presentation feed.
4 HD PTZ Robotic Cameras for Large Meeting Room
(if applicable) Solution to have clean fiber feed coming through ceiling.
Retain ability to use the meeting room reinforced sound at a self serve level.
Video conferencing system to fulfill needs of remote participation and public
participation. We currently use Microsoft Teams and have a PolyComm Trio 8800.
Assisted listening system for Large Meeting Room.
All cabling, Distribution Amplifiers, scalers, and conversions to complete install
