The envelopes containing the bids must be sealed, addressed to Tracy Baker, Assistant City Administrator, and must bear the following information: Name of Proposer Bidders Address Date and Time of Proposal Opening Proposal Enclosed: WAYFINDING SIGNAGE. NOTE: Each bidder shall submit three (3) copies of the completed bid packet or bid packet may be rejected. The Owner may consider informal any proposal not prepared and submitted in accordance with the provisions hereof, and may waive any informality or reject any and all proposals. Any proposal received after the time and date specified shall not be considered. Proposal award will be subject to final approval by vote of Board of Mayor and Aldermen. The Owner may make such investigations as he/she deems necessary to determine the ability of the Proposer to supply the necessary equipment, and the Proposer shall furnish to the Owner all such information and data for the purpose as the Owner may request. The Owner reserves the right to reject any proposal if the evidence submitted by, or investigation of, such Proposer fails to satisfy the Owner that Proposer is properly qualified to carry out the obligation of the contract by supplying the equipment contemplated therein. Conditional proposals will not be accepted. This contract is for the delivery and installation of EXTERIOR WAYFINDING SIGNAGE PHASE 1B. Prices quoted shall be valid for one year from bid date. Following preliminary evaluation of submissions, it is anticipated that some Proposers may be contacted for the purposes of clarifying proposal contents and to respond to questions. Following completion of all reviews and award of a contract, if any, unsuccessful Proposers will be notified that their proposal was not accepted. The City reserves the right to amend the scope of the project based on budget and available resources. The City reserves the right to negotiate prior to contractual agreement with the chosen firm. Only one (1) award will be made from this contract. In case of error or discrepancy in the mathematics of the bid price, the unit prices shall prevail. The Owner shall provide notice to the successful Proposer within 30 days and shall provide a purchase order authorizing the order of the system. Within seven (7) days following receipt of Owner's purchase order, the successful Bidder shall provide the Owner with a written order acknowledgement listing the equipment and estimated production date.
