Proposals must be enclosed in an envelope or package and clearly marked with the name of the submitting company, the RFP number and the RFP Title. Proposers must submit: A. one (1) signed original; B. one (1) electronic version of the signed proposal and; C. Three (3) copies of proposal. The electronic version of the Proposal must be submitted as a viewable and printable Adobe Portable Document File (PDF) on a Flash Drive. Both hard copy and electronic versions must be received by the City on or before the RFP due date and time provided in Section 1.3. Proposals received after the RFP due date 6 and time will not be considered and will be returned unopened to the return address on the submission envelope or package. Any requirements in the RFP that cannot be met must be indicated on Appendix V, "Exceptions to the RFP" and submitted with proposal. Proposers must respond to the entire Request for Proposals (RFP). Any incomplete proposal may be eliminated from competition at the discretion of the City of Raleigh. The City reserves the right to reject any or all proposals for any reason and to waive any informality it deems in its best interest. Proposals that arrive after the due date and time will not be accepted or considered for any reason whatsoever. If the Firm elects to mail in its response, the Firm must allow sufficient time to ensure the City's proper receipt of the package by the time specified in Section 1.3, "RFP Timeline". Regardless of the delivery method, it is the responsibility of the Firm to ensure that their response arrives at the designated location specified in this Section by the due date and time specified in Section 1.3, "RFP Timeline". Pre-Proposal Conference (if required) N/A Deadline for written questions January 10, 2022 2:00 PM ET City Response to questions (anticipated) January 17, 2022 The City of Raleigh (COR) is solicitating proposals from one or more firm(s) with which to contract for the following services: The City of Raleigh requests proposals for annual inspection and certification of fire sprinkler systems (wet and dry) including associated valves, fire pump flow test, and maintenance of sprinkler systems in compliance with NFPA standards, as well as the City of Raleigh Fire Department, Raleigh Water Department, and Facilities and Operations Division standards that are applicable to each system at locations identified. The City reserves the right to award to one vendor or multiple vendors based on equipment type and/or manufacturer if it is advantageous to the City. The City currently has equipment at various locations as indicated. The number of equipment is subject to change at any time throughout the contract period due to growth and expansion and the City reserves the right to add or delete equipment, locations, and/or frequency of services throughout the duration of the contract. Services will begin upon execution of the contract by the Contractor and the City. The term of the awarded contract is expected to be for three (3) years with the option to renew for two (2) one-year periods. Contractor shall be notified in writing of the City's intention to extend the contract term at least sixty (60) calendar days prior to the expiration of the Contract.
