All inquiries for information should be directed to: Jeffrey Campbell, VCA, Senior Buyer Phone (540) 422-8350 Fax (540) 422-8355 E-mail: jeffrey.campbell@fauquiercounty.gov PURPOSE The purpose and intent of this Invitation for Bid is to establish a firm fixed price contract with a qualified Contractor to provide lawn maintenance services for the entire Fauquier County Parks & Recreation department (FCPRD) in Fauquier County, in accordance with the terms, conditions and specifications contained herein. This solicitation is issued by the Fauquier County Government and Public Schools Procurement Division on behalf of the Fauquier County Board of Supervisors and the Fauquier County School Board, political subdivisions of the Commonwealth of Virginia, herein referred to collectively for convenience as "Owner" SCOPE OF WORK The Contractor shall provide all equipment, resources and qualified personnel required to perform lawn maintenance services including but not limited to mowing non-Bermuda turf and high angle surfaces, string-trimming, blowing, edging and bush-hogging, in accordance with all specifications, terms and conditions specified herein and attached hereto. This contract will be utilized primarily by FCPRD and Fauquier County Schools Facilities Department, but may be utilized by other Owner departments. The Owner reserves the right to add or delete individual sites and related item requirements during the term of the contract, at the unit prices specified in the resulting contract. Fauquier County Parks and Recreation manages over 1,000 acres while only having one-third of that mowed and maintained at a total of 46 sites that vary from narrow shoulders along trails to ballfields at parks and school sites to open spaces. The FCPRD has defined five different frequencies of mowing: A & B - Weekly, totaling approximately 250 acres. (Seven-day cycle) C1 - Bi-Weekly, totaling approximately 6 acres. (14-day cycle) C2 - Monthly, totaling approximately 13 acres. (30-day cycle) C3 - Annual, totaling approximately 6 acres. (August) C4 - Bi-Annual, totaling approximately 7 acres. (June & October) Primary mowing season is from April to October (30-weeks minimum with possible extension at the beginning or end of the season), but with additional cuts needed due to excessive growth and/or if the mowing season needs to start in late March or be extended into November, there may be up to four additional cuts for approximately 200 of the approximately 320 acres. Fauquier County Parks & Recreation continues to improve ballfield playing experiences and relies heavily on contractors to maintain that high level of play in their efforts to timely mow and maintain all the fields. There are four geographic maintenance areas that all of the sites will be divided into, with a dedicated Parks and Recreation Maintenance Manager overseeing one of those areas with the entire mowing contract overseen by a Superintendent.
