Responses to the RFP shall be submitted on the portal via one (1) digital PDF file labeled. Contractors selected under this RFP will be pre-qualified and pre-procured to receive a Task Order from THA to provide work within the scope of services over a five (5) year period subject to performance reviews. Work Covered; a)Work of this Contract shall be comprised of year round FLOORING inspection, installation, repair, and maintenance as described herein of THA properties consisting of requested maintenance and/or any necessary seasonal maintenance as directed by the THA Job Representative. b)Expected annual contract work shall consist of, but is not limited to, the following needs: Installation, inspection, and/or repair/removal of floor covering such as hardwood, laminate, carpet, tile, stone, vinyl, or laminate. Pricing for services stated shall be agreed upon in writing, and approved, prior to any work being completed. c)Contractor shall furnish all necessary labor, materials, equipment, and proper insurance for the completion of all work per specifications. d)Contractor shall visit the site(s) and thoroughly acquaint him/herself with all conditions incidental to completion of the work specified. Failure to inspect or to include in the bid all of the work specified will not relieve the Contractor of complying with these specifications in their entirety and performing all the work specified for the sum as shown in Article 6. 2)Scheduling; a)Once a FLOORING Service is requested and approved, Contractor will be asked to maintain an agreed schedule since THA site maintenance will be responsible for tenant notification and scheduling. However, THA may, on occasion, request that the FLOORING service dates be changed on specific properties to accommodate special events, Board Meetings, special visitors, etc. This Contract will be a full services annual contract and as such, THA will expect fulfillment of FLOORING service needs during the specified contract terms, in which work shall be performed by Contractor. Exceptions: Adverse Weather Conditions: In the event of inclement weather, on any scheduled workday, as agreed upon between the Contractor and the THA Job Representative, Contractor shall immediately cease any and all FLOORING services and contact the Site Manager to determine whether FLOORING services should be continued. The Site Manager only, shall have authority to make this determination. Should Site Manager determine FLOORING Service should be discontinued, the Site Manager and Contractor shall, at that time, mutually agree as to a date work will be rescheduled. b)Notwithstanding the above, the scheduling of FLOORING Services will be coordinated and mutually agreed upon by the Contractor and THA Job Representative upon award of Contract. Once a scheduled service is approved, Contractor will be asked to maintain this schedule throughout the contract term since THA site maintenance will be responsible for tenant notification and scheduling prior to performance of FLOORING Services. In the event FLOORING Services must be rescheduled due to inclement and adverse weather conditions, the Contractor shall reschedule and coordinate the work with the Site Manager for the next available weather-permitting work date. c)The Contractor may be required to conduct thorough inspections or attend meetings with THA staff prior to FLOORING Service invoices being paid. The Method of Contractor Selection has not been determined at this time.
