Inquiries must be received at least 7 business days prior to the due date in order to be considered (deadline is July 13, 2022. By 2:00 p.m.). Contact initiated by a bidder concerning this solicitation with any other City representative, not expressly authorized elsewhere in this document, is prohibited. Any such unauthorized contact my result in disqualification of the bidder. To be considered, your bid must be submitted on a copy of this Invitation for Bid. Bidders shall sign in the space provided on the Terms and Signature Sheet and return all required documents with bid. Mark outside of your envelope with Invitation for Bid # 2023-005 and opening date of bid. Bids, to include addenda or changes to a response, shall not be accepted via Fax machine or by Internet Email. Any bid received after the announced time and date for submittal, whether by mail or otherwise, will be rejected. The time of receipt shall be determined by the time clock stamp in the Procurement Division. Bidders are responsible for ensuring that their bids are stamped by Procurement personnel before the deadline indicated. Nothing herein is intended to exclude any responsible vendor, his product or service or in any way restrain or restrict competition. All responsible vendors are encouraged to bid. The initial term of this contract shall be for a six (6) month period with the option to renew for up to nine (9) additional six (6) month terms, upon mutual agreement of both parties to the contract. Total contract term shall not exceed five (5) years in length. This renewal structure is based on current market trends and volatility. Price increases will only be considered during any renewal period or if additional items are needed as determined by the City. Award will be made to the lowest responsive and responsible bidder by category. Bidders may bid on one or more category. Unit pricing shall be provided for all items in the category to be considered for award. Failure to price one item in each category will result in rejection of the bid as it pertains to that individual category. The City reserves the right to award to multiple vendors.
