On-call Maintenance Services Questions regarding this Solicitation are to be submitted to Kieferm@Charleston-sc.gov with "Maintenance Services" in the subject line. Questions will only be accepted by email. Emailed proposals must be sent to: Kieferm@Charleston-sc.gov with "Maintenance Services" in the subject line. The proposal should include the following: -- Estimated cost for services -- References - at least 3 -- W-9 -- Certificate of Insurance Overall Requirements -- Building Maintenance services shall be performed on an on-call basis 9:a.m.-5:00 p.m. The Vendor will perform building checks monthly, on a pre-determined schedule, and must have the ability to respond same or next day when called for assistance. -- The maintenance service shall provide a working supervisor capable of fluently speaking, reading, and writing English. Records of work performed will be required on a monthly basis, and payments, to the Vendor, will be made on a monthly basis. -- For security purposes, the Vendor shall be required to submit the names of the personnel who will be assigned to the premises. In addition, all maintenance staff assigned to the City of Charleston project must be bonded and insured. -- The Vendor shall assume full responsibility for the actions of its employees or agents and shall repair or replace any damaged item or area of facility caused by the actions of its employees or agents, unless said damage occurred under circumstances beyond their reasonable control as determined by the City of Charleston. Scope of Work Maintaining and repairing building lighting (involves climbing ladders). Performing minor plumbing and electrical repairs. Ensuring proper closing and working door locking mechanisms. Coordinating with outside contractors to perform major repairs. Implementing and maintaining a schedule for changing HVAC filters. Boarding up damaged windows and doors as necessary. Performing minor sheetrock repairs and painting as necessary. Removal of graffiti. General troubleshooting of any other building related maintenance and repair issues. Qualifications and Experience The qualified Vendor must satisfy the following requirements: -- Maintain a permanent place of business; -- Have adequate manpower and equipment to perform the services in adequate manner; -- Have satisfactorily furnished services of similar size and scope for a period of at least 12 months; Selection Criteria The City of Charleston reserves the right to consider proposals based on their relative merit, risk, and values to the organization, and reserves the right to negotiate with all Vendor. Evaluations will be based on the Vendor's responsiveness to the Solicitation and the total price quoted for all items covered in the RFP. On-call maintenance submittals should reflect a base services fee, a trip charge fee, and an hourly labor rate for repairs. The successful Vendor may be asked to participate in negotiations and may be asked to make revisions to their proposal based on the negotiations. In submitting a proposal, each Vendor acknowledges that he/she has read and understood these requirements. Supplies The Vendor shall provide their own tools and ladders to perform the work. The Vendor shall pre-approve any material purchases with the Hope Center Director. Materials charges will be reimbursed at cost. Rejection of Proposal The City of Charleston reserves the right to accept or reject any and all proposals and to waive any minor discrepancies or technicalities in the proposal or specifications, which are required to complete this project, or when deemed to be in the best interest of the City
