This Request for Quotations is an invitation by the Town of Collingwood to prospective bidders to submit non-binding quotations for the provision of Overhead Door Maintenance & Service, as further described in the RFQ Particulars (Appendix D) (the Deliverables). The Town of Collingwood has sixty-nine (69 doors) in seventeen (17) facilities with either overhead doors, garage doors, or roll-up doors that require annual preventative maintenance. (A list of doors/sites is provided as Attachment A to the Pricing Form Instructions) The purpose of this contract is to enter into an agreement with an experienced service provider for the provision of all required annual inspection, preventative maintenance and unscheduled service needs for these doors. Mandatory Disclosures: - Technicians and/or Service Repair Agents must be considered qualified in the Province of Ontario to perform work on overhead doors. - All planned maintenance and service work shall be performed during regular business hours. (Monday to Friday 0800 hrs - 1630 hrs.) - If the Town requests/requires service work outside of regular business hours, on weekends, or holidays, the bided labour rate will be increased by 50%. (bid rates to lift charge, truck charge, and material mark-up will remain the same.) - If any interruptions to the existing mechanical or electrical systems are required for the performance of work, or if access is required into an occupied area, notification must be provided at least three (3) business days in advance and is subject to approval from the Town's Representative for this project. - The successful proponent shall provide a 1-year warranty for any work which involves the installation of new devices and/or equipment. - For the OPP Station only, any individual performing work onsite must obtain the required security clearance prior to working onsite. This is similar to a police record check and there is no cost. The Town Representative for the contract will provide the application forms for the successful proponent to complete after contract award. - Performance Surety - The Town requires a performance surety during the active period of the Contract. The Performance Surety for this quotation is $5,000.00 (five thousand dollars). The performance surety may be submitted in the form of a bank draft, money order or certified cheque. The surety will be returned at the end of the contract period. Time-frame for Delivery of Goods or Services, or the Duration of the Contract: The term of the contract is to be for a period of two (2) years, with an option in favour of the Town to extend the contract on the same terms and conditions for an additional term of up to three (3) one year periods, (total of 5 years), upon mutual agreement.
