The City of Morristown is requesting bids from qualified vendors to provide preventative maintenance for all existing city owned generators. The proposed scope of services is discussed herein The City of Morristown is seeking bids from qualified vendors for the preventative maintenance services for eight (8) city owned generators. The qualified bidder will work to maintain all units through a preventative maintenance contract. Preventative maintenance will include but is not limited to testing, inspecting, repairs, and emergency services. The bid should include pricing for scheduled quarterly maintenance services as well as as needed or emergency basis maintenance and service. The selected bidder shall furnish all necessary labor, materials, equipment, and transportation required to provide preventative maintenance inspections and emergency repairs as needed. The preventative maintenance services shall consist of, but are not limited to, providing the following for all existing and future units: 1. Preventative maintenance inspections and service per the NFPA 110 Figure A.8.3.1(a) - Level Two Frequency (One (1) time per year) 2. Preventative maintenance inspections and service per the NFPA 110 Figure A.8.3.1(a) - Level One Frequency (Three (3) times per year) 3. Load Test 4. Automatic Transfer Switch Inspection/Service The deadline to submit questions in writing is 5:00 PM Eastern Time on Monday, December 5th, 2022. Questions to be submitted via email to purchasing@mymorristown.com. All questions and responses will be distributed electronically and posted to the City of Morristowns website by Tuesday, December 6th, 2022, by 5:00 PM. Requirements for sealed bid sumbission. A. Complete, unbound, original, sealed bid. B. Complete and original invitation to bid with bidder initial completed by authorized representative. C. All bids shall be submitted sealed, envelope clearly marked with the bid name, date, and time on the outside of the sealed envelope. D. Copy of IRS W-9 form. Bidders have the right to request withdrawal of their bid from consideration due to error by giving notice at any time before and not later than two (2) days after bids are publicly opened. By submission of this bid, each bidder and each person signing on behalf of any bidder certifies, and in the case of a joint bid each part thereto certifies as to its own organization, under penalty of perjury, that to the best of its knowledge and belief that each bidder is not on the list created pursuant to TCA 12- 12-106. Upon the approval of the selected bid, the City of Morristown is seeking an initial contract that will cover a three-year term that begins after City Council approval. The term will begin January 1st, 2023 and expire December 31st, 2025. Thereafter, the City reserves the right, at its sole option, to extend the term of the services for an additional two (2) - one (1) year terms or to seek new bids as it deems appropriate.
