The Christian County Board Of Education reserves the right to accept any bid, reject any or all bids, and to waive any informalities received where such acceptance, rejection, or waiver is considered to be in the best interest of the CCBOE. CCBOE also reserves the right to reject any bid where evidence or information submitted by the Bidder does not satisfy the CCBOE that the Bidder is qualified to carry out the requirements of the contract documents. The bid will be awarded for one year with the option to renew for two additional one-year periods should both parties be in agreement. The said contract may be cancelled at anytime by either party upon notice of not less than sixty (60) calendar days from date of receipt. The effective date of the contract will be from January 20, 2023 through December 31, 2023 with an option to renew for two additional one-year periods. Bids must meet the minimal specifications below. Specifications provided herein are for descriptive purposes to guide the vendor in interpreting the standard of quality, design, and performance required by the Christian County Public Schools. The successful bidder will be required to offer a surety of 100% of the amount of the bid before a contract will be issued. The surety may take the form of a performance bond or irrevocable letter of bank credit naming the Christian County Board of Education as the payee in the event of failure to perform per the specifications set forth in this invitation. Each bid must be accompanied by a certified check or cashier's check in an amount equal to five (5) percent of the entire bid amount. This check will be held until one day after the date of the bid award set as January 19, 2023. Should a vendor fail to enter into contract with the Board or refuse to furnish a surety for the entire amount of the contracted bid, the security will be retained by the Board. Each bid must include proof of insurance coverage for liability and property damage in an amount not less than $250,000. The bid must include proof of Worker's Compensation insurance as applicable under Kentucky law. This insurance must be maintained during the course of the contract with the Christian County Board of Education. Loss of insurance coverage may result in immediate cancellation of the contract with the vendor. Before mowing, the vendor must clear the area of any accumulation of debris or rubbish at the site. Said rubbish shall include but not be limited to, tree limbs, rocks, and other items that may be thrown by the mower to cause damage to persons or property in the vicinity of the mowing area. Before submitting a proposal, the vendor shall visit and examine the site(s) to confirm the nature and scope of the work along with any special instructions concerning areas to be omitted, boundaries, special care areas (athletic fields) and hazards. The vendor will certify that no item(s) preclude the execution of the mowing as required by the submission of the bid document. NO work is to be sublet without written permission of the designee of the Christian County Board of Education. Mowing will delay at ALL sites during the testing window. Schedule will be forthcoming. Contractor will need to consider the indoor court yards located inside the Christian County Learning Center (0.48 acres) and indoor court yard of the Christian County Middle School (1.27 acres) as well as the court yard at South Christian Elementary (approximately 10 acres). These grounds will need to be mowed at times not conflicting with regular school hours. NO mowing any property of the Christian County Public Schools on Sundays. The Christian County Board of Education reserves the right to add or deduct areas based upon the unit price bid for an area. This would impact the total contract amount and the payment for mowing services. The designee of the Board of Education will be responsible for determining the frequency of mows required per site based on weather conditions and special use of the area to be mowed.
