The successful vendor will commit to implementation of a remote pickup locker solution for the Airdrie Public Library within the 2023 year, ideally by the end of second quarter 2023. This system will meet the needs of the Airdrie community through reliability, ease of use (both staff side and public side), and excellent customer service response from the selected vendor. Scope of Work: Project Deliverables: A remote locker system that contains, at a minimum: 35-40 lockers with options for adding additional banks An easy-to-use customer interface for retrieving items from the lockers An easy-to-use staff interface for loading items, ideally connected to our ILS, Polaris Effective and efficient notification system for customers Software and hardware upgrade capacity, as required Robust statistical reporting system, including a count of usage by visit, unique visitor count, lockers filled count, and retrieved items count. The selected vendor will provide: Detailed information on timelines for delivery and implementation of equipment Detailed information on roles and responsibilities for implementation, networking requirements, ongoing maintenance, and any other expectation(s) to keep equipment maintained and providing excellent service to the community. Staff training, both written and in-person, on use of software and equipment Annual maintenance and support options that include timely response and resolutions, and local hardware support. Include this information in the costing. Disposal options for current remote locker system. Possible Roadblocks: Supply chain and shipping delays. Please account for this in the timelines to ensure deadlines are met. Onsite networking problems. Vendor will work with multiple parties including Airdrie Public Library staff, Marigold Library staff, ISP, and City of Airdrie IT (as our host site). Elements of Proposal: Statement of interest Confirmation of availability and commitment to a 2023 implementation, ideally by end of second quarter (subject to supply chain issues) Outline of deliverables Timeline for all aspects of scope Roles and responsibilities of all parties involved in project Customer references of similar scoped projects Quotation showing equipment, annual support and maintenance, any associated implementation cost, and cost of disposal of current equipment Detailing of any costs or factors that may impact the final invoice Proposal Evaluation Criteria: Qualifications for undertaking the work 12% Understanding of the project 12% Availability and schedule 12% Previous relevant experience 12% Cost 52%
