Questions Due Date: Feb 7th 2023, 11:00 PM CST Estimates the cost to be between $25,000 and $50,000 The City of Jefferson, herein referred to as City, invites interested, qualified vendors, hereinafter referred to as contractor, proposers, or bidders, capable of providing and installing audio and video equipment for the City of Jefferson, Jefferson City, MO, as described in this document to submit proposals. The installation must be completed no later than June 30, 2023 The intent of this proposal is to upgrade the current audio and video components and provide a system that must have centralized audio video controls that are easy to use and require little to no training for the average user. AUDIO: The Council Chambers is roughly 2,600 square feet including a partitioned production room. There are currently (25) Shure MX412 wired push to talk microphones and (2) Audio Technica 2000 wireless microphones that will need to be integrated into the proposed system. The microphones feed into an analog amp/mic mixer located in an adjoining room to the Council Chambers. The proposed system should allow for the centralized control of the volume and microphone volume within the dedicated production room. The proposed system shall have the capability to automatically detect and eliminate any feedback or echo. VIDEO: The Council Chambers currently has (4) PTZ Optic 30x Optical Zoom, SDI, Gen 2 cameras connected to an Epiphan Pearl 2 video production system. The proposed system should have automatic presets that allow for the camera views to change automatically based on the person speaking. It is at the proposer's discretion if this can be achieved with the current cameras or if new cameras will need to be part of the proposed system. There are currently (4) large screen televisions mounted for presentation display and Webex participants. These televisions are also wired to a central computer in the production room for presentations. Currently the televisions use the factory tv speakers for audio. The proposed system shall route the television audio through the main audio system to be broadcast through 12 ceiling speakers located in the Council Chambers. An endpoint solution is required to allow in seat participants the capability to plug in their laptop and easily display their presentation or files on the televisions for the gallery to view. This system will need to have the capability to accommodate virtual meetings and virtual participants within City meetings.
