The SPS currently utilizes VoIP/Unified Communications (UC) services provided by the City via the on-premise Microsoft Lync system. The SPS is looking to migrate to a new solution, independent of the City. The SPS is looking for an externally hosted solution where the in-house team will be able to perform day-to-day management and support of the system, with more advanced support, configuration and maintenance to be provided by the Vendor. The solution will need to be scalable such that it will address the current needs and requirements that have been identified to-date but will allow us to leverage additional functionality for better communication and collaboration in the coming years. Providing users consistent toolset regardless of whether someone is working at their desk in headquarters, remotely or in a police car will be key in any new solution. With the increased use of mobile devices, the need for desk phones is decreasing. However, regardless of platform the need for organization wide tools such as secure instant messaging, presence, voicemail, call forwarding/transfers, call recording as well as reliable voice communications remains. There are approximately 325 VoIP phones in use at the SPS. Phones may be individually assigned or in shared locations such as meeting rooms. The number of phones/lines are subject to change depending on the ability to use smartphones in lieu of desk phones for services. Estimated quantities are provided below. - 275 Lines - 260 Desktop sets (color display) - 15 Conference Call sets (color display) The quantities may be adjusted anytime during the entire contract period based on changes in demand of the services. Must be able to increase/decrease the number of users, lines and/or phones during the term of the agreement. Tender has been cancelled.
