SCOPE OF REQUESTED SERVICES
The City is seeking a contractor for design, build, maintenance, and training services for AV
solutions for a wide range of situations across all City departments; with adherence to The City's
current AV standards (included in Attachment 1 for your reference), and keeping with industry
best practices. The scope of work includes but is not limited:
o Design & build for new AV systems or integrating new equipment into existing AV
systems
o In room audio and visual solutions for in person meetings
o Video conferencing solutions for remote or hybrid meeting
o Provide training & documentation materials for AV systems
o Systems may include but are not limited to:
o Video conference cameraso Microphones
o Speaker system
o Displays
o System control panels and /or interfaces
o Excludes computers. Computers will be provided by the City whenever needed.
Machines will all be built with Windows 10 or most current version of windows.
o Removing/uninstalling existing AV equipment and cabling (when specified). Disposal
will be handled by the City.
o Low voltage cabling
o Recording solutions for onsite meetings (excludes required servers)
o Ability to integrate with an existing media feed
o Maintenance and support for installed solutions
o As-needed evaluation of existing spaces for upgrades & repair
o Work with the City to develop standards for AV systems
The scope of this work excludes disposal of existing IT equipment onsite for rooms being upgraded
and providing computer and server hardware.
All work performed will have a 90-business day acceptance period. If the system proves faulty or
lacking in that time frame, contractor shall correct or complete incomplete work without additional
charge.
