Intent The City of Courtenay (the "City") is seeking Proposals from qualified janitorial service contractors to provide cleaning services at the Public Works Yard, Fire Hall, Information Systems Building and City Hall. Proponents, for all or any part, shall base their Proposal on furnishing everything including all labour, materials, tools, equipment and all necessary supplies and incidentals required to fulfil the scope of works. The Proponent in their Proposal must state any deviation from these requirements Summary Details The City of Courtenay is seeking proposals from qualified janitorial service contractors to provide cleaning services at the Public Works Yard, Fire Hall, Information Systems Building and City Hall. Enquiries All enquiries related to this RFP are to be directed by email, no later than five (5) business days prior to the Closing Date and Time, to the Contact Person. Enquiries and any responses providing new information will be recorded and posted to BC Bid or otherwise distributed to prospective Proponents. Information obtained from any other source is not official and should not be relied upon. The contract may be extended for up to an additional three (3) years based on mutual agreement by both parties, satisfactory pricing and a satisfactory performance review performed by the City. 2.0 General Scope of Work 2.1 Janitorial services are to consist of the provision of all labour, cleaning products, consumable supplies and equipment. The janitorial services must utilize City approved cleaning products and consumable products. The Contractor shall replenish supplies (provided by the Contractor) within each building as designated for use by City staff in the day to day operations of the buildings. 2.2 The janitorial services are to be done in accordance with the specifications listed in Schedules A, B, C and D, using the latest professional techniques of the trade and in the frequencies listed. 2.3 Supplies The Contractor will supply cleaning products at cost plus 5%. The Contractor will be required to provide cost invoices to the City upon request. Examples of cleaning products are, but not limited to: Paper towels Toilet paper Urinal pucks Garbage bags Dish washer detergent Dish soap Hand soap Sanitation wipes Disinfectants All cleaning supply products and any subsequent substitutions are to be approved by the Manager of Civic Properties prior to use. It will be the responsibility of the Contractor to replace the products in the dispensers. The City has a limited storage area in each building that could be used for consumable supply products.
