This RFP is an invitation to prospective Respondents to submit a non-binding proposal for a Flooring Replacement Program for Student Housing. By obtaining a Flooring Replacement Program for Student Housing, the University is looking to ensure the flooring of the residences outlined is completed by qualified trained staff, capable of providing all required services and performing all work to a high standard. This includes that the respondent provides all equipment and materials to complete the work outlined in this RFP to make units ready for occupancy. The objective of this RFP is to ensure the Student Housing will be operated and maintained as a prudent owner would, coordinate with current and future tenants, and provide all required services to a high standard. KEY DELIVERABLES: The successful respondent is expected to: 1. Provide flooring replacement services on an as-required basis to the specifications provided below in A.3 Scope of Services / Products Required, including the removal and disposal of old flooring as part of the replacement process. 2. Ensure work is completed to a high standard by the provided deadline by properly trained employees of the successful respondent. Subcontracting of this work will not be permitted. The University requires flooring replacement services to support the following sites on an as required basis, as requested by the facilities coordinator or designate. The flooring specifications below meet the current standards used by the University of Guelph, Family Housing. Alternative products will not be considered. Location A: 252 Stone Rd. W; Wellington Woods (137 unit Family Housing townhouse operation) o Carpet - Beaulieu Network III 28/Indian Beige o Sheet Vinyl - Tarkett IQ Optima Raw Ivory with heat weld seams or no seams at all Location B: 78 College Ave (Family Housing operation of 180 furnished and unfurnished apartments and townhouses) o Carpet - Beaulieu Network III 28/Indian Beige o Vinyl (LVT) - Centura Leaf Wood LVT Demand for flooring replacement services will fluctuate with occupancy turnover. It is the University's intention to enter into the agreement with one (1) legal entity. The term of the agreement is as follows; Initial Term - One (1) year Starting May 1, 2023, ending April 30, 2024 Extension Term - The University will retain the right to extend the agreement, on the same terms and conditions for up to five (5) additional one (1) year terms. The top-ranked proponent at the conclusion of evaluation will be invited to enter into negotiations for an agreement with the University. All proposals submitted are to be in English only.
