Renovation of a municipal facility in Pittsboro, North Carolina. Completed plans call for the renovation of a municipal facility.

Chatham County MIS is requesting project proposals from qualified audio-visual firms for the replacement of audio-visual components utilized for public meetings in the Chatham County Historic Courthouse per the specifications detailed in this document. The desired project specifications are outlined in Section 4 of this document. Chatham County MIS is requesting project proposals from qualified audio-visual firms for the replacement of audio-visual components utilized for public meetings in the Chatham County Historic Courthouse per the specifications detailed in this document. The desired technical project specifications are outlined in Section 4 of this document. Vendors submitting a project proposal will be expected to provide a detailed description of the work to be completed as requested in this RFP. The replacement of the audio-visual components in the Chatham County Historic Courthouse will require the ability to work within the parameters of preserving the historical integrity of the building, while providing a consistent and reliable user experience for those utilizing the space for public meetings. Each Vendor must have the financial ability to undertake the work and assume the liability. Each selected Vendor will be required to furnish proof of sufficient Professional Liability Insurance coverage as determined by Chatham County in section 2.7 of this document. Each Vendor must have an accounting system to identify costs chargeable to the project. The payment for the Chatham County Historic Courthouse Audio Visual System Replacement project will be a negotiated total cost for the entire project as determined by the negotiated final project deliverables outlined in Section 4 of this document. Chatham County will negotiate the scope of work in detail with respondents of this RFP, including all facets related to a successful project implementation of this type. Vendors are cautioned that this RFP is a request for proposals only. Therefore, Chatham County reserves the unqualified right to reject all project proposals when such rejection is deemed to be in the best interest of Chatham County, NC. Section 4 - Project Specifications, Standards, & Deliverables 4.1 Project Expectations The specifications, standards, & desired deliverables detailed in Section 4 of this document are not intended to be a final project scope but are intended to provide guidance to respondents on the level of detail required to successfully implement the desired solution. Final project deliverables will be negotiated with the most qualified respondent to this RFP, as determined by an internal Chatham County staff review. Vendors desiring to submit a project proposal to this RFP are required to attend a pre-bid site visit to assess current, and desired conditions for a successful project implementation. Vendors will have the opportunity to ask questions during this site visit to more successfully tailor their proposal to meet the desired end product for the Chatham County Historic Courthouse Audio-Visual System. 4.2 Current Conditions The current audio-visual system in the Historic Courthouse has aged beyond its useful life and is not currently representative of the desired end product. Therefore, solely assessing the current conditions for determining system replacement will not result in a successful project implementation. Chatham County desires to assess technological upgrades that have occurred since the last system implementation that may more closely align with the current administrative requirements for holding public meetings, both in person and remotely. The following items currently present challenges when using the system for public meetings. This list is not meant to be an exhaustive, but rather is presented to help prospective respondents understand the pain points in the current AV system o Remote participation i. Inability for remote attendees to share screen, live input, interact, etc. ii. Livestream viewed remotely isn't fully inclusive of live meeting experience o Room Functionality i. Sound is not well distributed in the room ii. Projections displays hard to view for Board Members due to distance iii. Projector coloration is poor iv. Lack of assisted listening devices for ADA compliance v. Wireless device functionality (battery life and audio controls)
