The Road Commission of Kalamazoo County (RCKC) invites qualified bidders to submit proposals for Road Maintenance Services county wide, including culvert installation, ditch cleanout, drainage corrections and other various tasks as needed on various primary and local roads in Kalamazoo County during the year, in accordance with the following requirements, terms, conditions and specifications as set forth herein. The bid prices are to remain firm through December 31, 2024. RCKC will make award to the bidder whose proposal, conforming to this solicitation, is most advantageous to RCKC. The Road Commission of Kalamazoo County reserves the right to award to one or more bidders. Considerations will include Cost of Services, bidder's experience with engagement of similar scope and complexity, bidder's ability to perform high quality work, control costs and meet time schedules, bidder's license and certifications, The RCKC reserves the right to reject any or all proposals, waive irregularities and to award the proposal(s) they deem in the best interest of the RCKC. The RCKC reserves the right to reject any and all proposals received as a result of this bid/RFP, or to negotiate separately with any source whatsoever, in any manner necessary, to serve the best interests of the RCKC. The RCKC does not intend to award a purchase order solely on the basis of any response made to this request, or otherwise pay for the information solicited or obtained. Proposals are to be submitted by email to purchasing@kalamazoocountyroads.com. Bids or RFPs must be received in the RCKC office by the time specified on the cover documents. Any bid received after the exact time specified for receipt will not be considered. The term of the contract is for the calendar year ending December 31st unless otherwise specified. This contract may be extended for three (3) one (1) year extensions by the mutual agreement of both parties. Requests for extension must be emailed to purchasing@kalamazoocountyroads.com, by October 1 of the current contract period. Bid prices shall remain firm for the initial contract term. If the vendor has encountered significant price increases during the current calendar year or contract term, a request to extend may include a proposed price adjustment. The proposed price adjustments and supporting documentation must be emailed with the request to extend. The RCKC will review the proposed price adjustments and finalize their decision to accept or deny the proposed price adjustments within 30 days of receipt of the extension request.
