Dekalb County Government (the County) is Soliciting Bids for Restoration and Maintenance of Athletic Fields (Annual Contract With 2 Options to Renew) From Responsible Bidders. The intent of this solicitation is to establish a contract for providing all labor, materials, supplies, equipment, and incidentals necessary and required in order to perform the site restoration of athletic fields (46 fields) in DeKalb County. Restoration work shall restore fields to optimal and safe conditions in anticipation of the spring baseball/softball season. Restoration work will begin within ten (10) days after the Notice-To-Proceed Meeting. Refer to specifications and drawings for the specific fields where work will be performed and the scope of the project. Bidder extends to the County the option to renew the contract for two (2) additional one year terms, under the same price(s), terms and conditions, and in accordance with Paragraph L, Term. Mandatory DeKalb First LSBE Meeting: (Bidders must attend 1 meeting on either of the dates listed.) November 21st, 2023, or November 29th, 2023 (Meetings are held at 10:00 a.m. and 2:00 p.m.) The contact person for this bid is Will Parker, Procurement Agent. Questions and requests for information or clarification concerning the specifications in this ITB must be submitted to the above listed contact person via email no later than the date and time listed in the bid timetable. Questions and requests received after the above stated time or sent to anyone other than the listed contact person will not receive a response or be the subject of addenda. Price Schedule Opening: 3 - 5 Business days after Bid Opening Bids Valid Until: Bids shall be valid for 90 days from and including the bid opening date. All requests must be in writing. Any explanation desired by a bidder regarding the meaning or interpretation of the Invitation to Bid, drawings, specifications, requirements, etc., must be requested in writing and with sufficient time allowed for a reply to reach bidders before the submission of their bids. If any statement in the bidding documents, specifications, plans, etc., appear ambiguous to the Bidder, Bidder is specifically instructed to make a written request to the Department of Purchasing and Contracting as outlined in the preceding sentence. Any information given to a prospective bidder concerning an Invitation to Bid will be furnished to all prospective bidders, as an addenda to the Invitation, if such information is necessary to bidders in submitting bids on the Invitation or if the lack of such information would be prejudicial to uninformed bidders. Oral explanations or instructions given before the award of the contract will not be binding. Questions must be submitted no later than 5:00 pm EST on December 13, 2023.
