Each RFP must conform and be responsive to this invitation; the information for Proposers, specifications, and all other documents comprising the pertinent award agreement documents and submitted on the printed forms provided by the District. All inquiries regarding this RFP must be submitted in writing to Kirsten Garcia, kgarcia@egusd.net no later than 4:00 P.M. PST, December 14, 2023. This solicitation is intended to provide a mechanism for the Elk Grove School District (District) to procure hardware, software, and installation services for Uninterruptible Power Systems (UPS) for the Main Distribution Facilities (MDFs) and Intermediate Distribution Facilities (IDF) located at various schools (See Appendix A - List of School Sites & Hardware) for network equipment. The District is looking for interested vendors who can provide solutions that will address its current and future scalability needs. This RFP defines specifications for the equipment and requirements to upgrade existing UPS and associated equipment. All plans proposed shall include a project deployment plan, and detailed billing and include hardware, installation, shipping, and taxes. The vendor is responsible for installing equipment into pre-determined and cabled locations within each school site outside normal school hours. The District has standardized on Vertiv Liebert or equal hardware at all its existing locations. The District is willing to accept proposals from alternative manufacturers as long as they meet or exceed the current District standard. All installations shall be coordinated with designated District staff. AGREEMENT PERIOD Any contract resulting from this RFP shall be for three (3) years, commencing with the execution of an agreement by the Proposer and the District. The District reserves the right, upon mutual agreement, to extend any resulting contract for two (2), one (1) year terms at the same terms and conditions of the original contract. Initial term: July 1, 2024, through June 30, 2025. Renewals: Renewable annually for a full term of three years: July 1, 2025 - June 30, 2026, will be considered year two. July 1, 2026 - June 30, 2027, will be considered year three. A. The District shall retain the right to add, delete, or change equipment maintenance and support service requirements under an awarded agreement and may do so upon giving a thirty (30) day written notification to the Contractor. If these changes cause an increase or a reduction in the cost of an awarded agreement, said cost shall be readjusted and, when agreed upon, incorporated into an awarded agreement. Agreement is contingent upon Board of Education approval. B. This RFP is not an offer by the District to enter into an agreement under these or any other terms. Acceptance of a proposal neither commits the District to award an agreement to any Proposer, even if all requirements stated in this RFP are satisfied; nor limits the District's right to negotiate in its best interest. The District reserves the right to reject all proposals and not decide, or to contract for only a portion of the project. All costs for proposal preparation are the responsibility of the Proposer Proposers who intend to submit a proposal are required to attend and have a copy of this solicitation for reference. Any questions and answers that are presented during the site walk or any changes to the solicitation resulting from the site walks will be issued in a written addendum to this solicitation. The purpose of the site walks is to allow proposers an opportunity to ask questions and obtain clarification relative to any facet of this solicitation. Proposers are strongly encouraged to submit questions in advance by emailing them to kgarcia@egusd.net prior to the walk. Proposers who do not attend the mandatory site walks or who are late to arrive, will not be eligible to submit a proposal.
