The City of Lebanon is accepting sealed proposals for cleaning services for the Sanitation Building located at 410 Park Drive. City of Lebanon reserves the right to reject all or any part of any RFP* The City of Lebanon is exempt from State Tax and Federal Exercise Tax. NO PROPOSALS RECEIVED AFTER CLOSING WILL BE ACCEPTED. The City of Lebanon invites sealed proposals for cleaning services, in accordance with the specifications and bidding instructions set forth in this Request for Proposal. A copy of the bid tabulation will be available upon written request to the Purchasing Department. Any manufacturers' names, trade names, brand names, or catalog numbers used in the specifications are for the purpose of describing and establishing general quality levels. Such references are not intended to be restrictive. Since the "City" does not wish to rule out other competition and equal brands or makes, please remember "ANY APPROVED EQUAL". HOWEVER, IF A PRODUCT OTHER THAN SPECIFIED IS BID, IT IS THE VENDORS RESPONSIBILITY TO PROVE TO THE "CITY" THAT SAID PRODUCT IS EQUAL TO OR EXCEEDS THE QUALITY OF THE SPECIFICATIONS LISTED FOR ANY ITEM. The work covered in these specifications consist of furnishing labor, equipment, and cleaning supplies in performance of all operation to provide complete building services. o Classification: The cleaning services specifications shall be of the following types either "equal to "or "better than". 2.Specifications o Areas in which services are to be rendered: Internal building areas, interior and exterior windows. o Personnel: The janitorial service should employ only qualified operators and workers who are skilled in the performance of janitorial work. o Business License and Insurance: All bidders must hold a business license with the City of Lebanon, Wilson County and/or vendor's local City and hold liability insurance before you can be considered as a qualifying vendor. All vendors must provide a W9 and a copy of their liability insurance in the bid packet. o Trial Basis: The City of Lebanon will be having the cleaning services on a 90- trial basis, based on the performance during that time. If the cleaning services are not acceptable, the City of Lebanon reserves the right to re-bid the service for the building or extend the contract for the reminder of the service year January 3, 2024, through October 2, 2024. The City of Lebanon reserves the right to renew or extend the cleaning services at the end of the term, as long as, provisions are met and no altercations/theft by the janitorial service company, during the previous agreement. o A minimum of three references are to be included in your bid packet. o Invoicing: The awarded vendor must invoice at the end of a two-week time period. That invoice will be paid within the following two weeks. The awarded vendor must not harass the Accounting Department for their check if it has not been longer than two weeks. If you have not received a check after two-weeks, then you may inquire about the status of payment with each locations admin. 3.Specific Services to be Performed: o One time per week of only areas used by the Sanitation Department o Sweep and mop all tile floors throughout building o Vacuum all carpeted areas o Cleaning of breakroom and kitchen areas (floors, counters, refrigerators, microwaves and sink) o Cleaning and disinfecting all bathrooms (floors, sinks, toilets, etc) o Restocking of all bathrooms and kitchen areas with tissue, soap and towels o Dust all accessible areas-no dusting of desks o Empty all trash and shredder receptacles in all accessible areas o Emptying of all cigarette/trash receptacles outside of each exterior doors o One Time deep cleaning before weekly cleanings begin - including windows Quarterly window cleaning (exterior and interior) in areas occupied by the Sanitation department
