The Estacada School District will be installing mini-split units in designated classrooms in the District. This is part of a district-wide initiative to improve the indoor air quality in the classrooms. BACKGROUND and SPECIFICATIONS: BACKGROUND The purpose of this Request for Proposal (RFP) is to solicit proposals to establish a contract through fair and competitive negotiations for installing multiple mini-split units in designated classrooms in the District. Attend the scheduled walkthrough on the date/time listed above. The contractor must submit a proposal for the entire project, to include the following scope of work: Installation of split units in each designated classroom, per specifications Installation of all associated electrical components: wiring and conduit Installation of additional conduit, per District designation, for future placement of split units (reviewed at the site visit meeting) The contractor must provide the costing in the proposal as follows: Cost of full project, itemized by classroom. Pricing must include electrical needs, applicable subcontractor costs, and applicable permitting fees (by contractor or subcontractors) Pricing pricing must not exceed $300,000.00 The District reserves the right to select one or all proposals as part of the evaluation of the RFP. In the event projects are not fully funded, the Estacada School District reserves the right to modify the scope of the project or cancel the project. The contractor must include with the bid, an executive summary of services including warranties and support. The contractor will be responsible for securing sub-contractors for any applicable work, which must be reflected in the RFP (costs and services). Contractor will be responsible for all electrical load calculations to determine any additional power needs for this project. The Estacada School District has conducted a site evaluation to determine the highest priority of classrooms. A copy of this evaluation will be provided to the Contractor at the on-site walkthrough. AWARD OF CONTRACT: A. The contract(s) will be tentatively awarded by letter to the Respondent(s) who in the District's judgment is best suited to provide the requested goods and services using the evaluation described in this RFP. B. The District may defer awarding Contract for the project until after the Board determines whether the District has sufficient funds for that Project. The District will notify Respondents if the award of the Contract will be deferred under this subsection.
