The purpose of this Request for Proposal (RFP) is to select a qualified contractor to provide security and fire alarm monitoring, installation, and repair services for the City's current systems. The City has multiple facility locations throughout the City as identified in Attachment B. and majority of them have security and/or fire systems that need to be monitored and, from time to time, repaired. SCOPE OF SERVICES The scope of work is provided in Attachment A. The Contractor's proposal shall address how the Contractor will perform and deliver the indicated services. Work tasks shall include, but are not necessarily limited to, those items listed in Attachment A. The Contractor shall furnish all labor, tools, equipment, and materials, and supervision which are outlined in the Scope of Work. Email title should include the words "Security and Fire Alarm Services RFP." Questions or clarifications not sent to JimmyT@cupertino.org nor by the due date and time, will not receive a response. Any response provided by the City questions and/or clarifications will be provided by addenda and posted on the City's Business Opportunities webpage. The Contractor shall comply with all regulations and safety precautions listed on the product and equipment labels. The Contractor is required to be registered with the California Department of Industrial Relations (DIR) prior to contract award. Some of the typical services include, but are not limited to, the following: 1. 24 hours and 7 days a week monitoring of security and fire alarm systems. 2. Notifying security and fire alarm systems faults to Public Works Department. 3. Keeping records of security and fire alarm systems faults. 4. Performing annual testing and routine maintenance of the security and fire alarm systems. 5. Removal and replacement of defective security and fire alarm system components. 6. Respond to on-call maintenance requests from the City. 7. Coordination with County Communications and City staff. Contractors submitting a response to the RFP are required to state their understanding of the work and experience. Contractors are urged to submit concise proposals, appropriate to the scale of the work and include only items that are relevant to this work. The City intends to execute a three-year contract and shall retain the option to extend the term of the contract on a year-to-year basis not exceeding two years from the expiration date of the original term, for a possible total of five years. The City reserves the right: 1) to reject any or all proposals received as a result of this solicitation; 2) to extend the submission due date; 3) to modify, amend, reissue, rewrite or cancel this RFP; 4)to award the contract, to one contractor or a number of contractors; 5) to define and waive any informalities in the RFP; 6) to make a final judgment whether the proposals are responsive or non-responsive to the RFP; and 7) to make contract awards only to contractors who meet the City's needs. All non-responsive proposals received from contractors will be rejected.
