KIPP Texas Public Schools in an open enrollment, free public charter school network of 57 schools with nearly 35,000 Pre-K - 12 students across the state. Together with our families and communities, we create joyful, academically excellent schools that prepare our students to pursue any path they choose - college, career, and beyond - so they can lead fulfilling lives and build a more just world. KIPP Texas, Inc. ("KIPP", "Owner") is seeking proposals from qualified vendors to provide for the equipment and installation of kitchen equipment for 14 schools located within the four Texas regions of Austin, Dallas, Houston and San Antonio. Project completion is expected by June 30, 2024. Proposal questions submission instructions: All questions must be submitted directly through the Bonfire Portal. Any questions sent to other KIPP employees may not be recorded or responded to. KIPP will not answer verbal questions. Answers to questions received by the posted deadline will be posted as an addendum on the Bonfire Portal found on our website Deadline for Questions: February 22, 2024 All questions must be submitted directly through the Bonfire Portal. Reservation of Rights Owner reserves the right in its sole discretion to accept the proposal(s) it considers the best value for KIPP and the right to waive any and all formalities and minor irregularities in the proposal. Additionally, Owner reserves the right to waive any requirements of the RFP. Owner further reserves the right to reject all proposals and seek new proposals when such action would be deemed in the best interests of KIPP. Owner further reserves the right to accept, reject, or negotiate modifications in any terms of a proposed vendor's response or any parts thereof. KIPP also reserves the right as sole judge of quality and equality. Owner further reserves the right to award one or more contracts, in part or in whole, to a single or to multiple prospective vendors. The decision to award multiple contracts, award only one contract, or to make no awards rests solely with Owner. Owner may make multiple awards, and this fact should be taken into consideration by each Proposer. Owner makes no representation of any kind that an award will be made as a result of this RFP or for the Project. Owner reserves the right to accept or reject any or all Proposals, waive any formalities or minor technical inconsistencies in Proposal, or reissue this RFP or delete any items/requirements from this RFP when deemed to be in Owner's best interest. Owner reserves the right, in its sole discretion, to conduct interviews to assist in a complete and thorough evaluation of the proposals. If interviews will be conducted, Proposers will be notified by email at a reasonable time in advance of the scheduled interview. The purpose of the interview is for Proposer to demonstrate their qualifications and/or ability to meet Owner's RFP requirements. Scope of Work Requirements must include: o Description of allowable costs (materials plus direct labor hours, etc.) - TDA ARM Section 17, at p. 40. o description of delivery - Description of the frequency and location of expected deliveries for products and/or services, including drop shipments, and, if required, varied packaging, amounts, or sizes per delivery - TDA ARM Section 17, at p. 42. o Equipment/supplies specifications, technical requirements, etc. - Description of any expectations that the final contract will include the purchase or use of equipment which may include, but is not limited to, the following: Utility and space requirements Quality and features required Installation requirements Indication of whether the CE may retain the property and continue to make payments in accordance with an approved amortization schedule or return the property Other factors which may impact the cost of purchasing equipment Description of supplies to be provided by CE and offeror - TDA ARM Section 17, at pp. 42-43. o Description of services to be performed - Required certifications and/or licensing Description of duties to be performed, i.e., the scope of work Equipment provided by CE and expected to be provided by the contractor Hours of work Performance expectations Required outcomes - TDA ARM Section 17, at pp. 43-44. o Description of timeline - Description of start dates, major events, and end dates for solicitation and contract - TDA ARM Section 17, at p. 44. Vendor Responsibility o Removal /disposal of all existing equipment o Receiving all equipment at their warehouse and inspecting for any freight damages. o Delivery/setting in place/final electrical, plumbing, and counter body connections of all equipment and their accessories o Leveling of all counters and connection of all interlock systems o Startup/calibration of all equipment to ensure proper operation as designed by manufacturer. o Peel and dispose of all shipping materials from counter bodies. o Cleaning/polishing of all counters to remove smudges from shipping materials. o Equipment operational demonstration and cleaning techniques with KIPP staff. o Compile a complete folder with serial numbers and warranty contact information per site. KIPP Responsibility o Electrical/plumbing upgrades per site (if, necessary) o Final approval of laminate/counter body finishes
