This Request for Proposal (RFP) is being made of vendors who are currently approved by HEB ISD for the following goods or services described below: Purchase, delivery and installation of Mobile Convertible Bench cafeteria tables, as specified elsewhere in this solicitation, at each of four elementary campuses. Sixty (60) tables are to be delivered, assembled and set in place in the cafeterias at each location identified below. All debris is to be removed and hauled off. Use of dumpsters at each location is prohibited. Please provide make, model and/or item number for items quoted. Please include a specification sheet on each product quoted that show features of each shelf unit being quoted, including gauge of steel, weight capacity, color options and assembly instructions. NOTE: This purchase is for 60 each 72" Mobile Convertible Bench cafeteria tables for each site, however, optional pricing is being solicited for 84" and 96" tables. Purchases will be made for the the size of the bench that provides the best seating arrangement for each campus as not all cafeterias at these four campuses are the same size. The same size benches will be purchased for each site, but sites may differ in what size they can accommodate. For example, Campus A may receive all 84" tables, while Campus B may receive all 72" tables. SCOPE OF WORK / SPECIFICATIONS: MOBILE CONVERTIBLE BENCH FOR CAFETERIA/ASSEMBLY USE: Convertible Bench Series; 29"D x 72"W; Table top and bench laminate finishes; Table top and bench edge finishes; 14-gauge steel frame; 3" casters; Dyna Rock Edge; Edge1: Dyna-Rock - Gray (qty 1 each); Edge2: Bench: Dyna-Rock - Gray (qty 1 each); Laminate1: Top: Wilsonart Pinball 4937 (qty 1 each); Laminate2: Bench: Pewter Brush (qty 1 each); Metal Finish: Chrome (qty 1 each) NOTE: These cafeteria tables are equivalent to what was recently purchased for Bellaire Elementary School. The Hurst-Euless-Bedford ISD has the need to purchase the goods or services stated in the Scope of Work / Specifications listed above and on the Quote Form included as Attachment A, and images included in Exhibit A. If required, attached is a sample of the items to be provided under this RFIQ. Please provide a quote for the cost for these items on the Quote Form provided in this document. We will not mix sizes at each campus, (i.e. 30 - 72" tables and 20 - 84" tables for a total of 50 tables for Campus A). This RFP is being solicited on behalf of the following Hurst-Euless-Bedford ISD Elementary Campuses: Bedford Heights Elementary 1000 Cummings Drive Bedford, TX 76021 Meadow Creek Elementary 3001 Harwood Road Bedford, TX 76021 South Euless Elementary 605 S Main Street Euless, TX 76040 Stonegate Elementary 900 Bedford Rd Bedford, TX 76022 Please include all shipping/delivery charges in your quote. No additional charges will be allowed for freight not included in your original quote. TO OFFEROR: Offerors must submit response in IonWave by the time and date specified. Evaluation Criteria: In determining how to award a contract or contracts in conjunction with the RFP, the District shall follow the Texas Education Code 44.031 (b) as the primary Evaluation Criteria, as listed below: 1. The purchase price - 80 Points 2. The reputation of the vendor and of the vendor's goods or services - 5 Points 3. The quality of the vendor's goods or services - 5 Points 4. The extent to which the goods or services meet the district's needs - 5 Points 5. The vendor's past relationship with the district - 5 Points 6. The impact on the ability of the district to comply with laws and rules relating to historically underutilized businesses - 0 Points 7. The total long-term cost to the district to acquire the vendor's goods or services - 0 Points 8. for a contract for goods and services, other than goods and services related to telecommunications and information services, building construction and maintenance, or instructional materials, whether the vendor or the vendor's ultimate parent company or majority owner: (A) has its principal place of business in this state; or (B) employs at least 500 persons in this state; and 9. Any other relevant factor specifically listed in the request for bids or proposals - 0 Points Total Points Available: 100 Please include all shipping/delivery charges in your quote. No additional charges will be allowed for freight not included in your original quote. RESERVATION OF RIGHTS. HEB ISD expressly reserves the right to: (a) Reject or cancel any or all offers; (b) Waive any defect, irregularity or informality in any proposal or RFQ procedure; (c) Waive as an informality, minor deviations from specifications at a lower price than other proposals meeting all aspects of the specifications if it is determined that total cost is lower and the overall function is not impaired; (d) Reissue a Request For Informal Quotation; (f) Consider and accept an alternate proposal as provided herein when most advantageous to HEB ISD; (g) HEB ISD has the right to cancel the contract with a thirty day written notice, without prejudice, for factors including, but not limited to, non-availability or non-appropriation of funds; and/or (h) Procure any item or services by other means to meet time-sensitive requirements. To establish a contract for the purchase and installation of Mobile Bench Convertible Tables for Cafeteria/Assembly use at four elementary campuses identified in this RFP. This will be a one time purchase awarded on an all-or-none basis from a single vendor to be provided and installed during the Spring of 2024. Installation must be completed by April 1, 2024. Pricing proposed must be held firm until August 31, 2024. It is the intent of the district to award all or none, but reserve the right to award section by section, or item by item, multiple awardees, whichever is in the best interest of the district.
