The Columbia County School District (CCSD) is soliciting competitive bids for Sports Field Maintenance Services as part of Request for Proposal (RFP) Refer ALL Inquiries to: Columbia County School District 4781 Hereford Farm Road Evans, GA 30809 ATTN: Hudson Chandler, Purchasing Supervisor Minority-Owned Business (at least 51% owned and controlled by minority group members) Woman-Owned Business (at least 51% owned and controlled by women) CCSD intends to award one contract as a result of this solicitation. Contract performance would commence on or about May 31, 2024, and continue for a term of three years ending June 1, 2027. The agreement resulting from this solicitation shall be in the form of a General Contract for Services. The Contract will be a term contract for specified sports field maintenance services, as specified herein, for 5 high schools. The CCSD reserves the right to extend this contract on an annual basis and at the same contract provisions, terms and conditions for up to an additional 2 years upon mutual written consent by both parties. CCSD reserves the right, to make one Contract award to one bidder or a combination of Contract awards based on whatever basis the CCSD determines will be in the best interest of the CCSD. The Contract shall be deemed to terminate absolutely and without further obligation on the part of CCSD at the close of the calendar year in which it was executed and at the close of each succeeding calendar year for which it may be renewed. In the event of insufficient funding, the Contract shall terminate absolutely and without further obligation as of that moment. This solicitation does not obligate funds, nor does it constitute a contract, offer of employment, or offer of purchase. The cost of preparing and submitting a proposal is the sole obligation of the bidder. Any damage caused to school property or vehicles, and/or injury caused to any persons on school grounds must be reported immediately to the school principal and the CCSD, Director of FMO. NO EXCEPTIONS The successful bidder will be notified and provided the damage information for their investigation. Any investigation done by the successful bidder must be done as soon as possible the same day that the damage occurs. The successful bidder must contact FMO to verbally okay the repairs or to dispute the claim. All verbal correspondence must be followed up with a written authorization from the successful bidder within 24-hours of incurred damage. FMO will contact the successful bidder to initiate necessary repairs. Payment for damages will be paid by CCSD and deducted from the successful bidders next invoice. An adjustment sheet will be prepared, which will detail the costs for fixing the damages, for the successful bidders signature. All billing will be submitted to FMO on a monthly basis and will be broken down by location. All bidders must submit a minimum of three references on the attached CCSD Business References Form. References must be for projects/contracts of similar size and scope as that contemplated herein. Failure to provide adequate references may result in disqualification of your proposal. By submitting a bid, the Bidder certifies that, to the best of its knowledge and belief: (1) the prices have been arrived at independently without collusion, consultation, communication, or agreement, for the purposes of restricting competition, as to any matter relating to such prices with any other Proposer, or to any competitor or with any officers, agents or employees of the CCSD; and (2) unless otherwise required by Federal or Georgia Law, the prices which have been offered in this proposal have not been knowingly disclosed by the Proposer and will not be knowingly disclosed by the Proposer prior to opening, directly or indirectly, to any other Proposer or to any other competitor; and (3) no attempt has been made or will be made by the Proposer to induce any other person, partnership or corporation to submit or not submit a proposal for the purpose of restricting competition. All bidders are being provided the same time and opportunity to request any additional information or clarification concerning this bid in advance of the specified bid due date and time. Therefore, failure to seek such information or clarification prior to the bid closing shall all be deemed to have been fully asked and answered in advance of the bid closing. By submitting a proposal, the Bidder certifies that, to the best of its knowledge and belief: (1) the prices in this proposal have been arrived at independently without collusion, consultation, communication, or agreement, for the purposes of restricting competition, as to any matter relating to such prices with any other Bidder, or to any competitor or with any officers, agents or employees of the CCSD; and (2) unless otherwise required by Federal or Georgia Law, the prices which have been offered in this proposal have not been knowingly disclosed by the Bidder and will not be knowingly disclosed by the Bidder prior to opening, directly or indirectly, to any other Bidder or to any other competitor; and (3) no attempt has been made or will be made by the Bidder to induce any other person, partnership or corporation to submit or not submit a proposal for the purpose of restricting competition.
