Tarrant County is interested in evaluating proposals to improve the Audio and Visual (AV) systems in the Commissioners Court and associated facilities that are used for a variety of hearings and meetings. The AV modernization is considered for the following: Commissioners Court & Video Production Room Conference Room 504C Family Law Center, Assembly Room (2nd Floor) Supply a portable fly pack that can be quickly deployed in the event of a catastrophic systems failure or the need by the County to broadcast from outside of the primary control room. Respondents are asked to provide a comprehensive, Fixed Price turn-key proposal to include, equipment procurement, hardware/software installation, testing, project management, training, and warranty for renovating existing AV systems according to provided drawings and specifications. 1. CONTRACT TERMS: Vendor(s) will be awarded a twelve (12) month contract, effective from the date of award or notice to proceed as determined by the Tarrant County Purchasing Department. At Tarrant County's option and approval by the Vendor, the contract may be renewed for two (2) additional twelve (12) month periods, as further explained in Renewal Options. Prices must remain firm for the entire contract. 2. RENEWAL OPTIONS: Tarrant County reserves the right to exercise an option to renew the contract of the Vendor for two (2) additional twelve (12) month periods, provided such option is stipulated and agreed upon by both parties. If Tarrant County exercises the right in writing, the Vendor must update and submit any documents required during the initial solicitation by no later than thirty (30) calendar days prior to the commencement of the option period. Required documents must be in force for the full period of the option. If the updated documents are not submitted by the Vendor in complete form within the time specified, Tarrant County may rescind its option or seek a new solicitation.
