CONTRACT PERIOD: The intent of this bid is to establish a contract between the Board and Bidder for a labor service repair contract to repair scoreboards at various schools as described herein. Contract period shall be from date of board approval through March 31, 2025. This contract may be extended at the same hourly rate for a maximum of two additional years if agreed thereto in writing by both parties. We are rebidding due to only receiving one bid and pricing was excessive. REQUIREMENTS: Provide one or more crews as required by the Facilities Division to perform electronic work. Bidders must have electronic technicians who are manufacturer trained by one of the brands listed and must be experienced in the service and repair of all types and brands of scoreboards inside and outside. Some brands in the School District include, but are not limited to, Sportable, Nevco, Fairplay, Eletro-Mech, All American, and DakTronics. The contractor crew will receive work assignments from the Facilities Division personnel. Bidder shall be responsible for the quality of work performed, and assuring that work performed by them meets all existing codes and manufacturer's recommendations. The Facilities Division will notify the successful bidder during the contract period each time an electronic technician will be needed. The on-site response time for requests for electronic technician(s) for the successful bidder must be within 24 hours from receipt of request by the Facilities Division. The successful bidder(s) cannot sub out any work assigned to them without prior written approval of the Facilities Division. Bids shall be based on a total cost per hour, per electronic technician with a truck that is equipped with all tools and equipment necessary to perform electronic repair work on-site at various schools. An hourly rate for a helper "as needed" and a lift truck "as needed" are also required. The successful bidder will be responsible for furnishing all components required to repair the scoreboard. The material (equipment and parts) for the repairs are to be based on approved manufacturer's prices. Bidders shall indicate on the proposal form the percentage mark-up or mark-down (+1-) which will be applied to the bidder's cost on all material purchased under this contract. The awarded bidder's invoice must include copies of actual material invoices from their suppliers to show proof of actual material costs. Also, the awarded bidder shall itemize all materials on the invoice, then apply the percentage mark-up or mark-down that is submitted in the bid proposal. Upon request by the Board's representative, actual material cost shall be substantiated by the material distributor. It is the expectation of the Board that the successful bidder will use good purchasing practices in procuring the materials needed for Board projects. Successful bidder must be located in Mobile County, AL. This would expedite service calls that are time sensitive. Mobile County schools would not be responsible for paying travel time outside of Mobile County, AL. Successful bidder must be licensed and bonded in the State of Alabama, and must show proof of such with proposal. All labor shall have a one (1) year warranty; parts shall carry the manufacturer's warranty. All bidders must provide and are to submit with their bid the following: Project References: Name of Firms/Organizations for whom the bidder has performed scoreboard service/repair on the brands listed above. Please state what brands were serviced/repaired; Address; Telephone Number and E-mail Address; Contact Person and Title; METHOD OF AWARD: Bid will be awarded in whatever deems in the best interest of the School District. CANCELLATION: This contract may be cancelled by the School Board for any reason giving the successful bidder a ten (10) day written notice of termination. The submission of the bid by the vendor, acceptance and award of the bid by the School Board of Mobile County, Alabama, and subsequent purchase orders issued against said award shall constitute a binding, enforceable contract. Unless stipulated in the bid documents, no other contract documents shall be issued. The undersigned, as bidder, hereby declares that I have examined the Instructions, General Terms, Conditions and Specifications, and affirm that I have not been in any agreement or collusion among bidders, employees of the Mobile County Public School System, or prospective bidders in restraint of freedom of competition. Furthermore, I understand that fraudulent and collusive bidding is a crime and can result in fines and prison sentences. Bidder has become fully familiar with the general terms, conditions and specifications of this bid request and agrees to abide by all conditions stated herein: Bidder agrees to VISA(R) Virtual Credit Card Program through AOC/Regions Bank for invoice payments in place of a check to pay for purchases from this solicitation.
