The Commissioners' Court of Hood County is seeking proposals from responsible firms with proper equipment, experience, staffing and qualifications to supply "Fire Extinguisher & Suppression Services" in Hood County, Texas. After evaluation by the Purchasing Department and/or a designated evaluation team, it will be awarded by the Commissioner's Court at a future Court date. Proposal documents will be kept confidential until after the award. The vendor's signature is required for acceptance of the proposal and confirms vendor has read and understands all requirements concerning this request for proposal. Any questions regarding RFP specifications should be directed to the Hood County Purchasing Dept at gtilleman@co.hood.tx.us no later than March 18, 2024. Do not contact the Facility Maintenance office directly Hood County is seeking proposals from responsible firms with proper equipment, experience, staffing and qualifications to supply "Fire Suppression & Extinguisher Services" services at: Requirements: The vendor shall furnish and deliver as required, services for the inspection and maintenance of various types of fire extinguishers and suppression systems throughout Hood County as defined below. Services shall occur during regular business hours at a time agreed upon with the Facility Maintenance Director. The estimated quantities of the various types and sizes of fire extinguishers provided in this bid are the best available information to Hood County. If, during the servicing of locations it is determined that other fire extinguishers exist, the vendor shall service the extinguishers, as required by the contract, at the proposed rate in the Proposal Information sheet(s). The reporting of the additional fire extinguisher service shall be provided to the Facility Maintenance Director. Service and/or exchange of units is required within 48-hours of initial call. Annual Inspection and Tagging of Fire Extinguishers: The vendor shall provide an annual inspection of dry chemical, CO2, halotron, and water type fire extinguishers in accordance with the National Fire Protection Association (NFPA) Standards. The inspections shall be coordinated with the Facility Maintenance Director. Each fire extinguisher shall be inspected, maintained, and tagged to insure Hood County is in full compliance with all current Federal, State, County, and Local standards, codes, and ordinances. Recharge of Extinguishers: The vendor shall provide, as determined during annual inspection, recharge services as necessary for dry chemical, CO2, halotron, and water type fire extinguishers. The recharge of extinguishers shall be in accordance with the current NFPA Standards. Hydro Testing: The vendor shall provide, as required, periodic hydro testing for dry chemical, CO2, halotron, and water type fire extinguishers. The hydro testing shall be at the appropriate time interval determined by and in accordance with the NFPA Standards. Annual Inspection, Tagging and Maintenance of Fire Suppression System: The vendor shall provide an annual inspection of fire suppression systems in accordance with the National Fire Protection Association (NFPA) Standards. The inspections shall be coordinated with the Facility Maintenance Director. Each suppression system shall be inspected, maintained, and tagged to insure Hood County is in full compliance with all current Federal, State, County, and Local standards, codes, and ordinances. Reporting: When the vendor provides any type of the above services, a report of said services shall be provided. The report shall include the type and size of fire extinguisher, the building and location, zone, and the type of service rendered. CONTRACT TIME AND EXTENSION This proposal is for a one (1) year term, beginning May 23, 2024, with the option to renew for four (4) additional one (1) year terms with mutual consent. The contract amount will remain the same for the additional terms as the original bid amount unless approved by the Hood County Commissioners' Court. Proof of increased labor, materials, insurance, etc. which exceeds five (5%) percent of the original bid may be required to substantiate increase approvals.
