It is the purpose of this document to solicit bids for the City of Tullahoma (herein referred to as the City) for a vendor(s) supply tree cutting, trimming, and removal services. Quantities are NOT guaranteed. The City of Tullahoma reserves the right to accept or reject any or all bids received. Bids must be in the actual possession of the City of Tullahoma, Purchasing Officer on or prior to the time and date, and at the location indicated above. Late Bids will NOT be considered. Bids must be submitted in a sealed envelope and marked "Tree Cutting, Trimming, And Removal Services Bid" with the vendor's name and address clearly indicated on the envelope. Additional instructions for preparing an offer are provided within. FAX and EMAIL bids are NOT acceptable. The prices shown on the bid submission form shall be guaranteed from the notice of award through June 2025 and may be renewable annually by the City of Tullahoma each year for a maximum of four (4) years. Either party can choose to cancel contract with written notification by May 31st of the current fiscal year of the contract. Bid Bond: A bid bond will not be required.
Payment / Performance Bond: A payment or performance bond will not be required unless an emergency occurs that requires a large amount of work. At that time, the Parks and Recreation Department and the Purchasing Officer will determine the amount of the payment and performance bond. The City of Tullahoma reserves the right to accept or reject any or all bids received. If payment terms are not indicated, term of NET 30 shall be applied by the City. Payment terms to apply after receipt of invoice or final acceptance of the product,
whichever is later. The payment terms will be considered in the price evaluation of bids. The City reserves the right to reject any or all Bids, or any part thereof, to accept any offer or any part thereof, or to waive any informalities when it is deemed to be in the
City's best interest. Tree cutting will be based on the diameter of the tree at the base; to be determined by measuring after the tree has been cut. Price will be quoted per inch on trees 40" or less. Trees larger than 40" will be quoted at a hourly rate. The successful vendor(s) will be notified by mail that their offer has been accepted by the Board of Mayor and Aldermen as recommended for award. Representatives from the Parks and Recreation Department and the Finance Department will evaluate and rank each offer based on the criteria requested within this
document. Bids shall be reviewed solely on the information received in the written response. The decision of the City shall be final and conclusive when the Board of Mayor and Aldermen vote.
