The Clarke County Purchasing Office, on behalf of the Clarke County Joint Maintenance Department, is soliciting competitive sealed proposals from qualified firms for HVAC maintenance and repair services for various Government, School, and Sanitary Authority locations. The intent of this "REQUEST FOR PROPOSALS" (hereinafter known as "this document") and resulting contract is to obtain the services of a qualified firm (hereinafter known as "Vendor") to provide HVAC MAINTENANCE AND REPAIR SERVICES as listed in this document, for the Clarke County Government, School System, and Sanitary Authority (hereinafter known as "County") for a one-year period, to be determined upon award. This contract may be renewed for four (4) additional one-year terms, per mutual agreement of all parties involved. Each vendor must be an Equal Opportunity Employer as defined by Federal and State laws and the Code of Virginia 11-51. Clarke County reserves the right to reject any and all proposals, to waive informalities, and to negotiate with the successful offeror(s). Question Deadline 04/29/2024 at 12:00 PM ET. All questions should be done in writing via email (purchasing@clarkecounty.gov) to Mr. Mike Legge, Purchasing Manager. Questions will either be answered directly by an email or through an addendum. Note that Joe Braithwaite or a designated employee will oversee the HVAC maintenance and repair services contract and will be the selected vendor's main point of contact during the duration of the contract. It is expected that the first term of the contract will start on July 1, 2024 and end on June 30, 2025. The County reserves the right to renew the contract for four additional one-year terms, if both parties agree to the renewal. Additional one-year terms would run from July 1-June 30. PROPOSAL AWARD Estimated 1-2 weeks after Proposal Due Date Each bidder shall accompany their bid with a bid bond or certified check in the amount of five percent (5%) of the amount bid. Such bond shall serve as liquidated damages and be forfeited in the event the successful bidder fails to enter into the contract. The successful Contractor shall furnish both a performance and payment bond, each in the amount equal to one hundred percent (100%) of the contract as security for the faithful performance of this contract.
