Mesa Unified School District No. 4 ("District") is seeking the services of a qualified and experienced contractor(s) to provide all labor, materials and equipment necessary to provide routine preventive maintenance and repair services for existing magnetic and non-magnetic chillers throughout the District according to the terms, conditions, and specifications of this solicitation. It is the intent of Mesa Unified School District #4 (District) to secure a fully qualified contractor, to enter into a preventive maintenance and repair agreement, which will provide not only routine preventive maintenance service, but also emergency repair service for the equipment listed herein. The contractor shall include all the necessary labor and material for all major repairs and/or replacement of parts that have failed unexpectedly at no additional cost to the District. The contractor must be able to access, diagnose and perform all repairs on the chillers using all manufactures software programs. The contract will cover all labor and parts listed in these guidelines as part of the contract. Therefore, there shall be no extra billing at the end of or during the contract term. If any situation should arise that would require additional billing, then that work can only be done with prior approval of Operations Supervisory personnel and even then cannot be done without issuance of a purchase order for the work to be billed against. In addition, contractor may be requested to provide repair service for equipment not currently on contract. Indicate in the Pricing Proposal your contractor's straight time rate and overtime rate and discount on parts. This bid contains two (2) Sections. Section #1 includes forty-five (45) non-magnetic (centrifugal and screw) chillers at twenty-six (26) locations. Section #2 includes thirty-six (36) magnetic bearing (centrifugal) chillers at twenty (20) locations. Vendors are strongly encouraged to carefully read the entire invitation for bid. Background Mesa Unified School District is the largest school district in Arizona. The District is located primarily in Mesa, Arizona and is comprised of approximately 200 square miles. There are approximately 57,000 students enrolled in pre-kindergarten through 12th grade. The District maintains over 80 educational facilities within the District as well as approximately 12 administrative facilities. These include 6 high schools, 9 junior high schools, 50 elementary schools, 5 success schools, and 12 choice schools. Over the course of one year, MUSD may spend approximately $1,000,000 in preventive maintenance and repairs. This is an estimated amount only and no quantity is implied or guaranteed throughout the term of this contract. Contract Extension. By mutual written agreement between District and Contractor, the Contract may be extended for up to four (4) consecutive additional 12-month periods, beginning immediately after expiration of the prior term. District will determine whether it is in District's best interests to agree to a Contract extension. The factors used to make this determination may include, without limitation, Contractor's satisfactory performance of the Contract, the likelihood of continued satisfactory performance, including competitive prices for Contract products, materials and services, and the likelihood that District will need to purchase from the Contract. The Contract will expire unless renewed by issuance of written notice by District or a purchase order for the term of the extension. Month-to-Month Extension. District may offer month-to-month extensions if that is determined to be in the best interests of District. It is the intent of the District to award a multi-term contract, beginning on JULY 1, 2024, or the date of award and continuing for a period of one year, through JUNE 30, 2025 or to the last day of the month, previous to the awarded month. (Example: If awarded on July 15, 2024, the contract would still only run through June 30, 2025). If all conditions are met during this period, this contract can be extended, if funding is available, for up to four additional one-year contracts or any portion thereof. However, no contract exists unless and until a purchase order is issued each fiscal year. The District's preference is for a contract under this bid to be awarded to a single vendor. Question Deadline 05/07/2024 at 12:00 PM MT. Question Response Deadline: May 13, 2024, 2:00pm However, the District reserves the right to make a multiple award to more than one offeror if deemed to be in the best interest of the District. The award will be limited to the least number of offerors that the District determines is necessary to meet the needs of the District.
