Renovation of an educational facility in Hendersonville, Tennessee. Completed plans call for the renovation of a educational facility.
The Contractor must include cost based on the following criteria: o New, not used, equipment. o Installation Coordinate installation with the Jobsite Contact and SCS Assistant Director for Facilities & Support Services. Provide and obtain all necessary materials, equipment and labor. Provide and obtain all necessary permits with Local, County, etc. agencies as required by law. Schedule all necessary inspections with Local, County, etc. agencies as required by law. Dispose of all generated waste materials in compliance with all Local, State and Federal guidelines, regulations and requirements. Utilize the existing support pole, if applicable. Install new if required. Install Pole skirt the full width of the sign (SEE Sample Design). SCS reserves the right to reject any and all proposals and to waive any informality in proposals and, unless otherwise specified by the proposer to accept any item in the proposal. Action to reject all proposals shall be taken for unreasonably high prices, errors in the proposal documents, cessation of need, unavailability of funds, or any other reason approved by SCS. Scope of Work / Specifications Jobsite: Indian Lake Elementary 505 Indian Lake Road Hendersonville, TN 37075 The Scope of Work below represents the minimum requirements to complete the project. The Contractor is required to visit the jobsite to assess the current conditions. The Contractor is responsible to engineer/design a HVAC system to meet the needs of the project area. The Contractor shall not be held liable for any pre-existing conditions that cannot be ascertained by a site visit but may be encountered during the project. o Shutdown and isolate four (4) existing classroom units in Kindergarten Pod. o Demo existing units and cap supply and return water piping. o Furnish and Install New HVAC system for four (4) classrooms. o SCS has selected the Daiken Condensing Unit and Indoor Ceiling Cassette Air Handling Unit design along with an Oxygen 8 Fresh Air Unit as its' preferred solution. See below regarding submission of Alternate products. Condensing Units CU Model: REYQ216AAYDA OA CU Model: REYQ96XAYDB Ceiling Cassette Air Handling Units Model: FXFQ48TVJU 1 Cassette per classroom Fresh Air Units Model: DXM06C13 900-1200 cfm o Furnish and Install new advanced multi-zone controller in the Mechanical Room. Run control wire to indoor and outdoor equipment. Daiken iTouch Manager Advanced Control Logic BACnet Server Gateway Option Built-in Service Tool with Remote Access Furnish and Install new refrigerant lines per manufacturer guidelines. Furniture and Install new duct from Fresh Air Unit to each classroom with diffuser. Perform any necessary wall and roof penetrations. The Contractor shall properly seal the penetration area for water intrusion taking special note to follow the roofing manufacturer's guideline. Pull vacuum on new units and charge per manufacturer guidelines. Startup units and verify operation. The Contractor shall provide a Warranty for all material and workmanship to be free of defects. A Performance Bond will be required for this project if the total cost exceeds $100,000 per T.C.A. 12-4-201. The cost for the Bond must be included in the total project cost. ALTERNATES Page 6 of 23 Unless otherwise provided for in this RFP, the name of a certain brand, make or manufacturer does not restrict bidders to the specific brand, make or manufacturer named, but conveys the general style, type, character and quality of the item desired. Any item which SCS, in its sole discretion, determines to be the equal of that specified, considering quality, workmanship, economy of operation, and suitability for the purpose intended, shall be accepted. It is the bidder's responsibility to clearly and specifically indicate the product being offered and to provide sufficient descriptive literature, catalog cuts and technical data to enable SCS to determine if the product offered meets the requirements of the solicitation. Failure to provide adequate data for evaluation purposes may result in declaring a bid non responsive. 2.2. Standard Contractor Obligations o Shall provide and obtain all necessary materials, equipment and labor to perform all items listed in the Scope of Work. o Shall provide and obtain all necessary permits and schedule all necessary inspections with Local, County, etc. agencies as required by law. o Shall dispose of all generated waste materials in compliance with all Local, State and Federal guidelines, regulations and requirements. o Shall have property trained and experienced staff to facilitate the services specified in the Scope of Work. If applicable, the Contractor shall provide documentation that staff has received the manufacturers' certification to complete the services specified in the Statement of Work. 3. Source Selection and Contract Award Award(s), if made, will be made to the Responsive and Responsible proposer(s) whose proposal is most advantageous to SCS, taking into consideration price and the other evaluation criteria set forth in the RFP. General Criteria to be determined "Responsive" Does the proposal include all required information, included completed attachment forms and affidavits Was the proposal delivered on or before the stated deadline Did it include the required number of copies (hard & electronic) General Criteria to be determined "Responsible" Does the Proposer demonstrate an understanding of SCSs needs and proposed approach to the project Does the Proposer possess the ability, capacity, skill and financial resources to provide the service Can the Proposer take upon itself the responsibilities set forth in the RFP and produce the required outcomes in a timely fashion Does the Proposer have the character, integrity, reputation, judgement, experience and efficiency required for the project o SCS reserves the right to enter into discussions with Proposers which have submitted proposals determined to be reasonably like of being considered for selection to assure a full understanding of and responsiveness to the RFP requirements. Every effort shall be afforded to assure fair and equal treatment with respect to the opportunity for discussion and/or revision of their respective proposals. o Upon mutual agreement by both parties, SCS shall grant the right to extend the terms, conditions and prices of contract(s) awarded from this RFP to other Institutions (such as State, Local and/or Public Agencies) who express an interest in participating in any contract that results from this RFP. Each of the "piggyback" Institutions will issue their own purchasing documents for purchase of the goods/services. Proposer agrees that SCS shall bear no responsibility or liability for any agreements between Proposer and the other Institution(s) who desire to exercise this option. o Contractors awarded construction projects for the improvement of real property will be required to provide the following: o Signed AIA Document o Retainage Account Agreement & Evidence of Open Account (per Tenn. Code Ann. 66-34-104) o Payment and Performance Bonds o Certificate of Liability Insurance o Sumner County Business License o Current Copy of W9 Question Deadline 05/05/2024 Requests for clarification of proposals shall be distributed by the Purchasing Supervisor in writing (or email) purchasing@sumnerschools.org
