PURPOSE Ingham County solicits proposals from qualified and experienced vendors for the purpose of entering into a contract to install one door @ 11 '6" x 14' and four doors @ 10'2" x 14' at the drain office. OWNER County of Ingham 121 E. Maple St. Mason, Michigan 48854 PROJECT LOCATION Ingham County Drain Office 707 Buhl Street Mason, MI 48854 Site visits are highly encouraged to further understand the scope of this RFP. - To schedule a site visit please contact Troy Willard, Ingham County Facilities Manager, (517) 676-8232, mt_willard@ingham.org EXAMINATION OF PROPOSAL DOCUMENTS AND SITE Before submitting a proposal, each proposer must (a) examine the proposal documents thoroughly; (b) familiarize himself/herself with Federal, State, and local laws, ordinances, rules and regulations affecting performance of the work; and, (c) carefully correlate his/her observations with the requirements of the proposal documents. The proposer shall be responsible for investigating and evaluating subsurface and/or latent physical conditions along the site of the work. Where information concerning existing conditions, including subsurface conditions, is provided or mentioned in the RFP, such information is provided for the convenience of the proposer and to provide the proposer information known by Ingham County. However, Ingham County does not represent or guarantee any specific site conditions, including subsurface conditions. The proposer shall be solely responsible for all necessary site investigations and measurements to ensure the proposal is based on conditions, which exist in and adjacent to the project site. The submission of a proposal will constitute an incontrovertible representation by the proposer that he/she has complied with and understands every requirement of these instructions. Failure or omission of the proposer to do all of the foregoing shall in no way relieve the proposer from any obligations in respect to his/her proposal. INSTRUCTIONS TO PROPOSERS - SUBMISSION REQUIREMENTS Registering as a Vendor with Ingham County: Bidders who have not registered their company with Ingham County or have not updated their registration in the past three (3) years are requested to do so by visiting website. or by e-mailing Vendor Registration at vendreg@ingham.org for assistance. Vendors registering to provide goods and services to Ingham County under contract shall certify to their knowledge of the County's Equal Opportunity Employment / Nondiscrimination Policy, and of their agreement to comply, and shall disclose any conclusive findings of violations of Federal, State, or local equal opportunity statutes, ordinances, rules/regulations, or policies within the past three (3) years. Any explanation desired by a Proposer regarding the meaning or interpretation of this RFP and attachments must be requested only to the Ingham County Purchasing Department, at questions@ingham.org. The deadline for submitting final questions is no later than 3:00 P.M. on May 13, 2024. If an addendum is required, it will be issued after this date. - In the subject line of the e-mail, reference the Packet Number and Description: "Packet #138-24 Overhead Door Replacement". - Submit only questions that are pertinent to the content of the RFP and, if possible, reference the page number and section. - Questions must be sent in an e-mail or a Word document. - Do not call the office or departments to ask questions. - Do not send questions in any other format, for example: PDF. - Questions are gathered until the deadline and answered in an addendum. - Addendums are issued after all questions are received and answered. 1. Assessment and Removal: - Conduct a thorough assessment of the current condition of all five overhead garage doors. - Remove the existing doors and their components, which are deteriorating and no longer operable due to the separation of panels. 2. Door Replacement: - Supply and install five new overhead garage doors, ensuring they match the specified dimensions: - Door Width: 10 feet 2 inches - Door Height: 14 feet 1 inch - Material: Jamb type wood - Ensure that new doors are capable of securing to the existing infrastructure without additional modifications. - *One door will be 11 feet 6 inches wide by 14 feet high 3. Opener Replacement: - Remove the existing commercial door openers that have reached the end of their operational lifespan. - Supply and install new commercial door openers equipped with 1/2 horsepower, single-phase motors designed to handle the specified door dimensions and weights. 4. Structural Integrity: - Address any issues related to weakened steel structures around the door frames. - Install necessary reinforcements to ensure long-term durability and functionality of the new doors and openers. 5. Safety and Compliance: - Ensure all installations are compliant with local building codes and safety standards. - Perform a final inspection and testing of the doors and openers to verify proper installation and functionality. 6. Clean-up and Disposal: - Manage the disposal of all replaced materials and debris resulting from the installation process. - Leave the site clean and free of installation-related waste
