Renovation of a theater / auditorium in Douglas, Wyoming. Conceptual plans call for the renovation of a theater / auditorium.
CCSD1 is looking for qualified firms to provide consulting, design, and construction administration services for the Douglas High School Auditorium Upgrades. The Converse County School District #1 (the "District") is accepting proposals from qualified service professionals who can provide consulting, design, and construction administration services for the Douglas High School Auditorium Upgrade. Design Meetings: 1. Visit the site to provide thorough verification of existing systems components and document dimensions, interferences, and general conditions and meet with the representatives from the District for one programming meeting and/or working session to coordinate needs, associated budgets, and recommendations for the renovation. 2. Web-based meeting with the representatives from the District to review the proposed theatre systems narratives and costs and to address questions that may arise. 3. Web-based meeting with the representatives from the District to review the theatre systems 25% construction documents. 4. Meet with the representatives from the District on site to verify field conditions for incorporation into final design documents and review the theatre systems 90% construction documents. 5. Participate in conference calls or web-based design meetings, as required, to coordinate work with the District, Electrical Engineer and Structural Engineer. Theatre Systems Consulting and Design: Theatre systems consulting will cover the Auditorium performance lighting systems, house lighting control systems, and dead-hung stage rigging systems. The basic services will include the following: 1. Develop a Schematic Design narrative of the Auditorium performance lighting systems, performance lighting control, and rigging systems. Provide cost opinions for the installed systems. Revise the narrative and cost opinions based upon District comments. The cost opinion and narrative will be used to establish the construction budget and scope. Existing equipment will be evaluated and utilized where appropriate. 2. After the narratives and budgets are approved, design the systems, and prepare construction drawings and specifications for the dead-hung stage rigging system, including draperies, traveler tracks, etc. 3. Design performance lighting systems upgrades including the control and dimming equipment for the theatrical lighting instruments, as well as the control and dimming of the house lights. 4. Provide assistance with house lighting LED lamp replacement options. 5. Coordinate modifications required for rigging structural support locations and associated rigging loading requirements with the Structural Engineer. 6. Coordinate performance lighting and rigging equipment locations with the District. 7. Coordinate electrical power requirements for the motorized stage rigging with the Electrical Engineer. 8. Provide drawings and specifications with cost opinions for up to four (4) major milestones during DD and CDs. The 100% CD package will be complete and provide all information needed to receive comparable competitive bids from qualified theatrical subcontractors. All deliverables will be provided in an electronic format. 9. Participate in value engineering, as necessary, until issuance of 50% CDs to keep estimated costs within the District's budget. Audio-Video (AV) Systems Consulting and Design: AV systems design scope will cover the Auditorium and associated support spaces. The basic services will include the following: 1. Develop a Schematic Design narrative based on the programming and provide cost opinions for the installed systems. Revise the narrative and cost opinions based upon District input. The cost opinion and narrative will be used to establish the construction budget and scope. Existing equipment will be evaluated and utilized where appropriate. 2. Once the narratives and budget are approved, design the AV systems. Prepare construction drawings and specifications for the systems. 3. Coordinate the AV systems electrical loads with the Electrical Engineer and the Structural loads of suspended AV equipment with the Structural Engineer. 4. Provide drawings and specifications with cost opinions for up to four (4) major milestones DD and CDs. The 100% CD package will be complete and provide all information needed to receive comparable competitive bids from qualified AV subcontractors. All deliverables will be provided in an electronic format. 5. Participate in value engineering, as necessary, until issuance of 50% CDs to keep estimated costs within the District's budget. Construction Administration: Construction administration scope will provide support and observation during construction for the theatre systems and AV systems identified above. The basic services will include the following: 1. Provide revised "Addendum" drawings or scope clarifications relating to AV and theatre systems as necessary. 2. Review cost proposals and qualifications, as needed. Provide recommendations concerning contract award. 3. Provide responses to contractor requests for substitution and requests for information (RFIs). Respond to any questions on coordination and implementation of the design documents. 4. Provide review of any "Proposal Request" and provide "Clarification" drawings and narratives for scope clarifications or minor changes needed to address implementation of the design intent. 5. Visit the for a pre-bid contractor site walk to review the scope of work and project requirements . Provide written response to any contractor questions or clarification items raised during the walk, for distribution to the bidding Contractor(s). 6. Visit the site at least one (1) time during construction to observe on-going work related to theatre and AV systems installation. Provide a field report after the visit identifying any issues that should be addressed by the Contractor. 7. After notification from the Contractor(s) that the system installations are substantially complete, conduct one (1) visit to observe the work and test the operation of the systems. Prepare a punch list of items requiring remedial action on the part of the Contractor(s). 8. After notification from the Contractor(s) that the punch list items have been addressed, conduct one (1) site visit to review final the work, and commission the theatre and AV systems. Oral or telephone bids shall not be considered, nor will modifications of proposals by such communication be considered. The completed bid response shall be without erasures or alterations. Delivery of the proposals will be considered authorized by the service provider to make a contract, if awarded. The owner reserves the privilege of rejecting any or all proposals or waiving any irregularities or formalities in any proposal in the bidding. The method of Contractor Selection has not been Determined at this time.
