Butler County Public Schools (BCPS) is seeking quarterly filter service/replacement for all of our HVAC Units as well as a pathway to add additional units as they come online as the result of construction projects provided by a single vendor/provider. BCPS (Owner) is accepting proposals for quarterly filter service/replacement of filters for every HVAC Unit within the district. These filters need to be constructed of MERV8 material. Many of these units are located in ceilings, rooftops, and gymnasium spaces. Proposal will need to include any costs associated with accessing all of these locations quarterly and replacing filter materials to ensure proper air flow and filtering. Ladders/equipment are the responsibility of the vendor/provider to bring onsite for specialty placements. Roof Access is provided when available via roof access points built into facilities. Vendors are encouraged to submit proposals with Multi-year (5 year) agreements and renewal options. Cost proposals should verify filter material, frequency of service of filters, and any additional services or options that would/could be included within the overall price of the contract. Additional services could include such things as asset tag for inventory help, spreadsheets for verification of filter service, cleaning of coils within units, or other services not listed but that logically can be performed during execution of filter maintenance. These services need to be added as "itemized" components within the proposal to allow for an "Apples to Apples" comparison of base services provided (filter maintenance). Additional services will be considered as a positive option during selection of vendor/provider all other things considered equal. Cost Proposals shall show the following: Initial install costs On-going support and maintenance costs Recurring and non-recurring charges Potential vendors shall provide adequate references for past projects of this size and scope. All questions must be submitted in writing via email to the technical point of contact with the subject line of "HVAC Quarterly Filter Service". Owner reserves the right to determine the ability of any vendor, contractor, or subcontractor to perform the work and/or reject all proposals. In determining the quality of the vendor's proposal, the Owner shall take into consideration the cost of service (initial and life of contract), vendor's skill, experience, facility, NOC, previous work standing, financial standing, past experiences with the vendor, capacity and ability to handle new work in addition to projects that are already in progress, quality and efficiency of construction plant, compatibility with existing district equipment, and quality of equipment to be utilized on the project. This document does not replace any code, either partially or wholly. The contractor must be aware of local codes that may impact this project. If this document or any document listed herein is in conflict with each other or any national, state or local codes, the Service Provider has the responsibility to determine and adhere to the most recent release when developing the proposal.
