The Engineering Department will select respondents to this RFQ that are suited to perform the required On-Call services in the best interests of the Town. Not all firms from the Eligible Providers list that submit a proposal will be selected. The selected firms will be offered to enter into a Consulting Agreement with the Engineering Department to provide Surveying Services on an On-Call basis for a two-year contract period, subject to Town Board approval. At any time during the Consulting Agreement contract period, an On-Call consultant may be requested by the Commissioner of Engineering, at his discretion, to submit a proposal to perform Surveying services on a task-specific basis. The Commissioner's discretion for selecting a firm(s) per task will be based on the needs of the department, consultant's qualifications per task, firm's workload, and any other relevant factors at that time. At any time during the contract period, the consultant will be requested to submit a proposal to perform on-call surveying services on a task-specific basis. Firms should be prepared to respond with appropriate technical staff on an as-needed basis within 48 hours of request. All survey work must be under the general supervision of a licensed surveyor in the State of New York. The scope of services anticipated during the contract period may include, but is not limited to, the following: o Property line and Boundary line surveys. o Topographical surveys. o Construction stakeout and layout. o Surveying and Mapping for Storm Water Drainage and Roadway Improvement Projects. The consultant will be required to provide all surveying and related work, in accordance with the latest version of the Town's Policy for Preparation of Contract Documents; and the Town's Policy for Design of Roadway and Storm Water Projects indicating all features, utilities and elevations obtained during the topographic survey. o Perform Condition Survey of storm water drainage structures within project areas; obtain related invert elevations. o Preparation of Various Maps and Charts. o Miscellaneous surveying related services o Provide Surveying services in accordance with Approved Billing Rates; utilizing Approved multiplier; with total costs not to exceed amounts authorized by the Commissioner. o At the Commissioner's request, any other consulting services that the firm provides, where the Commissioner believes it would be in the best interest of the Town for the firm to provide said services under this On-call contract. The Town also reserves the right to subdivide individual tasks and award one or more portions to one firm and other portions to one or more other firms. The Town reserves the right to reject any and all proposals either in whole or in part. Respondents will not be reimbursed for costs incurred in the preparation of the proposal.
