Overhead Door Maintenance, Repair, & New Installation. The Purchasing Agent reserves the right to order materials or services on any emergency basis from suppliers other than The Successful Bidder(s). Ordering from other vendors shall not void the conditions of this contract. When requested by the County, the Successful Bidder(s) shall complete and submit the overhead door maintenance inspection report, Appendix B of this contract, for the requested location to the requesting County using agency. The Successful Bidder(s) shall submit to the inspection report within ten (10) days of the request. The inspection report will be used by the County to assist in budget and project planning. The report shall include recommendations and proposals, based on bid rates, for repairs or replacement of all faulty or non-operation components. Anne Arundel County, Maryland, herein called the County, requires the services of a professional contractor to provide labor, parts, materials, and equipment to maintain, repair, replace, inspect, and install overhead doors, overhead screens, bi-fold doors, sectional doors, and electric operators. The Successful Bidder(s) shall have the knowledge and skills to complete inspections, maintenance, installations, and repairs on various different styles of overhead doors, overhead screens, bi-fold doors, sectional doors, and electric operators. A Primary and a Secondary Bidder shall be awarded. For maintenance, repairs, replacements, inspections, or minor projects, the Primary Bidder will be offered the job first. If the Primary Bidder declines, fails to respond with a formal proposal, or does not provide the requested service within the specified time frames, the work will then be offered to the Secondary Bidder. The Secondary Bidder must respond within the same time frames as outlined in these specifications. For major projects, the County may request proposals from either the Primary Bidder or both the Primary and Secondary Bidders. If proposals are requested from both bidders The County shall award the major project based on the lowest responsive proposal for each proposed project. The Successful Bidder(s) shall supply a list of names and phone numbers where a representative of the Successful Bidder(s) shall be reached 24 hours a day, 7 days a week to handle all calls, including emergencies. Failure to have a representative available on-call at any time is inexcusable and may be cause for termination of the contract. The list of names and phone numbers shall be submitted within 5 business days of contract award. The employee shall be the point of contact for all County agencies and departments to submit requests, inquiries, and complaints regarding the contract. The County may ask to meet with this representative regularly to discuss contract needs, reporting, and service performance. The account manager shall be available to receive complaints, instructions, or to provide answers to questions between the hours of 7:00 AM and 3:30 PM EST Monday through Friday. The Successful Bidder shall maintain and retain all records, inventory, and documents relating to the performance of the Contract for a period of five (5) years after completion of the Contract and shall make such records available for audit and inspection by authorized County personnel.
