It is the intent of this Invitation to Bid (ITB) to establish a pool of vendors who are qualified, responsive and reputable in access control. This project aims to enhance the City of Panama City Beach's security protocols and ensure authorized access to sensitive areas. In an effort to establish longstanding vendor relationships, the City is seeking a contract offering a percentage discount off current MSRP (manufacturer's suggested retail price).The City is forecasting a budget amount not to exceed $300,000.00 for the term of the contract. BIDDERS must submit all questions, if any, in writing prior to 12PM NOON CDT on December 6th, 2024. If necessary, questions will be answered as ADDENDA and will be issued to the Contract Documents and posted on the City's website. It is the sole responsibility of the bidder to determine if any addenda have been issued. SCOPE OF WORK: 1. Description: The facilities are currently utilizing Lenel S2 and or Linear Prox Pad Hub Manager Systems and applicable hardware/software. Brand names are not to restrict competition, but as a result of a competitive process. The City of Panama City Beach reserves the right to award the procurement of hardware, software, licenses, installation, training, etc. to a single vendor or different vendors as deemed in the City's best interest. Vendors must be authorized by the manufacturer to perform work on listed equipment. The scope of work includes installation services for all necessary components of secure door operation and assist Information Technology (IT) with installation of software and hardware. Hardware shall be repurposed where feasible. It will be agreed upon with the vendor/contractor as to which hardware is reused and what needs to be replaced. Vendor shall: o Complete any software setup and setting necessary for proper access control. o Provide and implement recommendations for industry's best practices during implementation. o Install any new hardware needed to support new functionality and upgrades wherever necessary.
