Reference Number 0000289372 Questions are submitted online No The RFP is an invitation to submit offers for the provision of Replacement Flooring in the 3rd and 4th Floor Weight Rooms (Rooms 3204 and 4240A) and the Blue Gymnasium in the Western Student Recreation Centre (WSRC) as further described herein. The required capabilities of the replacement flooring are described below: Goals and Expectations of the Project - Installation must occur before June 15, with no delays. - Flooring must be durable and designed for long-term use in a high-traffic weight room. Floor must not bend, crack or dent. - Material should include a sealed surface to prevent moisture absorption and damage. Material should be slip resistant. - Flooring must be compatible with a floor cleaning machine for easy and efficient maintenance. - Provide sound-dampening properties to minimize noise from dropped weights. - Flooring should have shock absorption to protect both equipment and athletes. - Ensure proper leveling and secure installation to avoid tripping hazards or gaps. - Proponent must offer a warranty on materials and installation. - Proponent to provide clear cleaning and maintenance guidelines post-installation. - Proponent should have a proven track record of timely project delivery and professional installation - Communication with the Proponent must be prompt and detailed, with regular updates leading up to and during the installation window. 2.1.2.1 Minimum Requirements To ensure high satisfaction and meet the outlined goals, the following minimum requirements must be satisfied: - Durability: The flooring must withstand static loads, including heavyweights, cardio equipment, and high-impact activities. - Slip Resistance: Ensure excellent slip resistance for user safety and foot stability during various fitness activities. - Shock Absorption: The flooring must provide proper shock absorption to reduce joint stress and enhance comfort. - Environmental Compliance: The flooring should meet stringent indoor air quality standards, such as GREENGUARD Gold certification. 2.1.2.2 Detailed Specifications - Color: Black or Grey - Texture: Matt finish with superior grip and slip-resistant properties. - Thickness: o Minimum 10mm - Material: Vulcanized material for long-lasting performance, dimensional stability, and biomechanical consistency. 2.1.2.3 Key Benefits - Safety: Fire-resistant, fungal, bacterial, and microbial resistance to promote a safe, hygienic environment. - Environmental Sustainability: Made from 100% recyclable materials and free from harmful chemicals like BPA, formaldehyde, and heavy metals. - Longevity: 20+ years of life expectancy, ensuring a low cost of ownership. 2.1.2.4 Minimum Standards - Certifications: Ensure the flooring is GREENGUARD Gold certified and meets fire resistance standards. - Performance: Must withstand dynamic and static loads without damage or deformation. - Comfort: Maintain a balance between softness and firmness for all fitness activities. 2.1.2.5 Plans or Drawings - Please refer to Attachments 1 and 2 for floor plans and dimensions of the rooms - Ensure the flooring is cut and installed seamlessly to minimize trip hazards. 2.1.2.6 Additional Recommendations - Perform a site inspection to confirm measurements and identify any specific challenges. - Ensure professional installation to meet manufacturer standards and maintain warranty coverage. - Provide cleaning and maintenance guidelines to the staff to prolong the flooring’s life expectancy. 2.1.3 Removal/Installation Requirements 2.1.3.1 Phased Installation Due to Equipment Movement - The flooring installation must occur in two stages: o Stage 1: Move equipment to one side, install flooring on the cleared side. o Stage 2: Move equipment to the newly installed side, then complete flooring installation on the remaining side. 3rd Floor Weight Room – Room 3204 - Currently this space (10,000 sq. feet) has work out equipment in the proposed install area. - Removal of the current floor will need to take place ahead of install. - The weight room is on the 3rd floor and contains heavy equipment that cannot be removed entirely from the space during installation. - The plan would be for a third-party moving company to move all equipment to one side of the weight room and complete 50% installation. Once install is complete for half of the space all equipment would be moved to the recently completed floor and complete the remaining 50% install. - Coordination with professional movers will be necessary, and Proponents must account for potential delays or adjustments in timing due to the moving process. - Please see Attachment 1 for floor plan. 4th Floor Gym Weight Room – Room 4240A - No removal needed as the new floor can be installed on our gym floor. - The third-party moving company would move all equipment into the adjoining open gym space and provide an empty gym (6,000 sq. foot space) to complete install with no disruptions. - Upon completion of the floor install the third-party moving company would move all equipment back to their original locations. - Please see Attachment 2 for floor plan. 2.1.3.2 Building Access and Timing Constraints - The WSRC building will be closed from May 5–9, 2025. This is the ideal time for work to be complete in the 3rd floor. - Proponents should plan their schedule to either finish within the operational days between May 1 – June 15. 2.1.3.3 Weight Room Location Challenges - The weight rooms are on the 3rd and 4th floors, which may pose logistical challenges for transporting materials and equipment. Proponents should account for elevator or stair access restrictions, weight limitations, and any building regulations for heavy materials. 2.1.3.3 Exclusions - Proponents are not responsible for moving the equipment themselves. A separate moving company will be hired for this task. However, coordination with the moving company will be essential to avoid downtime and ensure smooth transitions between stages. 2.1.4 Future Conditions - The new flooring must be durable enough to accommodate future changes, such as the addition of heavier equipment or increased usage. - It should also be designed to integrate seamlessly with surrounding flooring if expansions or renovations are made in the future. 2.2 Product Samples Submission Proponents must provide physical flooring samples that accurately represent the proposed flooring solutions they are recommending. The samples should align with the specifications outlined in Section 2.12 and allow for a thorough evaluation of material, quality, durability and aesthetics. Condition Overview: - Existing flooring is buckling, creating an uneven surface and posing a tripping hazard for users. - The surface material is not sealed, leading to moisture retention and difficulty in cleaning. - Flooring does not provide adequate soundproofing, resulting in excessive noise from dropped weights. Pain Points: - Safety hazard due to uneven flooring; increased risk of user injury. - Maintenance challenges: Hard to clean, requiring extra time and effort from staff. - Noise levels disrupt the facility environment, affecting other fitness areas or members. - Flooring shows signs of wear and tear, reducing the professional appearance of the weight room. - Buckled areas cause equipment instability, which could damage equipment or compromise workouts. Strengths: - The layout of the flooring covers the necessary areas of the weight room. - Material provides some durability but is not adequate for long-term use. Quantities and Additional Notes: - Weight room size: 3rd floor Approximately (10000 square feet) and the 4th floor (6000 square feet.) - Current 3rd floor weight room is Infinity max flooring. And 4th floor current flooring is a poured rubber flooring. - Most of the 3rd floor weight room buckled creating tripping hazards. 4th flooring has no tripping issues but does not provide sound proofing for the gyms below. - Current flooring is on the 4th floor is sixteen years old. Current 3rd floor approximately twelve years old and has exceeded its expected lifespan.
