Civic Center Complex Concessions Questions Due Date: Jun 11th 2025, 5:00 PM CDT The City of Amarillo, hereafter called "City," is initiating this Request for Proposals (RFP) to solicit proposals from firms interested in providing concessions services at the Amarillo Civic Center Complex pursuant to an exclusive contract. The City of Amarillo (City) built the Amarillo Civic Center Complex (Complex) in 1968, and the Complex has been expanded and improved over the years. The Complex currently includes: a. Coliseum: 4,870 permanent seats, up to 7,000 total GA capacity b. Auditorium: 2,372 total capacity c. Grand Plaza: 16.000 ft 2 , 50 booths, 824 banquet capacity d. South Exhibit Hall: 26,700 ft 2 , 155 booths, 1,500 banquet capacity e. Regency Room: 10,080 ft 2 , 56 booths, 560 banquet capacity f. North Exhibit Hall: 24,565 ft 2 , 148 booths, 1,376 banquet capacity g. Heritage Ballroom: 20,725 ft 2 , 124 booths, 1,068 banquet capacity h. Hospitality Room: 5,100 ft 2 , 21 booths, 240 banquet capacity i. Globe-News Center Performance Hall: 1,312 total capacity j. Globe-News Center Education Room: 1,750 ft 2 , 112 banquet Capacity. Numerous lobbies, halls, malls and concourses often incorporated in leased space. k. Kitchen/catering area of approximately 1,200 sq. ft. l. The Pavilion at the Santa Fe Depot, 60,000 sq. ft. covered outdoor pavilion located one block east of the main Complex. A fully outfitted 24' Concession Trailer is currently provided for concession services for this location. Capacity estimated @ +/- 5,000. The building and land are owned and operated by the City of Amarillo. The City desires to contract with the Supplier to provide concessions services, including the sale of alcoholic beverages at the Complex in the most efficient manner possible while providing top quality service and food product to the clients and guests of the Complex. The City also desires to produce as much income as possible from the Food and Beverage Supplier's activities. The City intends to contract its food and beverage services through a concessions contract that will provide quality food and non-alcoholic beverage and exclusive alcoholic beverage concessions and nonexclusive catering services within the Amarillo Civic Center Complex to a qualified and capable Supplier, in exchange for a stated percentage of all food and beverage gross revenues as further described within this Request for Proposal document. The selected firm shall achieve all of the objectives in a professional manner, consistent with established standards, best industry practices and all applicable laws and ordinances. The selected firm shall achieve the greatest possible revenue for the City, consistent with industry standards and based on competitive pricing and quality. The selected firm shall provide all operations, management services, food preparation, beverage service and procurement of labor and supervision. The Supplier shall be responsible for all direct operating costs, labor costs and food and beverage costs as well as business overhead expenses, small wares and normal business expenses. The Work consists of professional services to provide quality food and non-alcoholic beverage and exclusive alcoholic beverage concessions and non-exclusive catering services for the Amarillo Civic Center Complex events and visitors, using the kitchen, concessions, pantries and portable equipment provided by the City of Amarillo. The successful Supplier will be responsible for providing all small wares necessary to perform the scope of work as set out in this Request for Proposal. As it relates to catering services, successful proposer will hold exclusive alcohol service rights for all events including those not provided by the proposer. Any end user who arranges to hold an event at the Amarillo Civic Center Complex must use the successful Supplier to provide all alcohol service. Any exceptions must be approved by both the Complex General Manager and the successful proposer's General Manager. The work shall include the purchase, preparation, sales, marketing and service of food, alcoholic and non-alcoholic beverages and other related food items for Amarillo Civic Center Complex events. The scope of work will include operations of concessions stands and portable food service outlets. This does not include exclusive catering for meetings and other banquet or catered events
