Caldwell Building Server Room UPS Replacement Anticipated Posting of Notice of Intent to Award 06/03/2025 Technical Questions due from prospective Vendors (Only email inquiries will be accepted.) 05/14/2025 4:30 PM Any questions from Bidders concerning this ITB shall be submitted via email to Commerces Procurement Officer, Vickie Woodward at FloridaCommerce.Purchasing@commerce.fl.gov SCOPE OF WORK C.1 Purpose/Description The Florida Department of Commerce (Commerce) is requesting sealed bids from qualified Contractors to obtain competitive prices for replacing the Caldwell Building Uninterrupible Power Supply (UPS) in accordance with the Exhibit A, Caldwell Building UPS Replacement Construction Document, and Exhibit B, Florida Department of Commerce Project Specifications created by H2 Engineer. C.2 Background/Overview Commerce has two (2) existing UPS located in the server room that are outdated and need to be replaced with one (1) UPS with dual capacity and like-for-like functionality and two battery cabinets as specified in Exhibit B. All bids must include all aspects of removal, purchase, and installation of the UPSin accordance with the attached specs and drawings created by H2 Engineer. C.3 Method of Payment/Invoice Payment shall be made in accordance with Sections 215.422 and 287.0585, F.S., which govern time limits for payment of invoices. Invoices that must be returned to a Contractor due to preparation errors will result in a delay in payment. Commerce is responsible for all payments under this Contract. Invoices shall contain the Contract number, purchase order number, and the appropriate Federal Employer Identification Number (FEIN). The State may require any other information from the Contractor that the State deems necessary to verify that the goods and or services have been rendered under the Contract. Contractor shall provide complete pricing information, as detailed above, for all items, per resulting Contract. All requests for compensation for services or expenses must be submitted in detail sufficient for a pre-audit and postaudit in accordance with subsection 287.058(1)(a), F.S.. The Contractor shall submit with the invoice all supporting documentation for any reimbursements to Commerce's Contract Manager for review. C.4 Staffing Changes The successful Contractor shall staff the project with key personnel identified in the Contractors' Bid, which are considered by Commerce to be essential to this project. Prior to substituting any key personnel, the Contractor shall notify and obtain written approval from Commerce's Contract/Project Manager. Written justification must include documentation of the circumstances requiring the changes and a list of the proposed substitutions in sufficient detail to permit evaluation of the impact on the project. Commerce, at its discretion, may agree to accept personnel of equal or superior qualifications in the event that circumstances necessitate the replacement of previously assigned personnel.
