**As of September 8, 2025, this project has not yet been awarded. A timeline for the award has not yet been established.** The Ector County Coliseum is in need of 3 new digital full color outdoor video displays for our 3 sided marquee located on the corner of US Hwy. 385 and TX Hwy. 191. Each existing display board is approx. 4' x 16' and the current display opening is approx. 4'6" x 20'6". Current sign is connected to operating system through a wireless internet. Question Deadline 08/13/2025 at 5:00 PM CT Questions Answered: August 15, 2025, 5:00pm Ector County reserves the right to make a judgment call to extend any deadline. All deadline extensions will be posted as an addendum on the Ector County Purchasing Website. If there is an unforeseen event causing the County to close for business or delay opening, the submission deadline may be extended. If the unforeseen event causes delays in carrier service operation, the County may issue an addendum to extend the deadline. Ector County reserves the right to conduct whatever tests deemed necessary to identity a pre-qualified material and determine if there is a change in the composition, manufacturing process, or quality that may affect its durability or performance. In case of variance, the County's tests will govern. Remove 3 existing video screens Install 3 new video screens-Furnish and install three (3) new video screens that are compatible with the existing marquee framework and environmental conditions. Equipment must be commercial-grade, weather-resistant, and suitable for continuous outdoor operation. Connect with current Wi-Fi router in marquee structure / or include alternative connection method-(e.g., cellular, hardwired, or upgraded router) as part of the installation plan. Include access to operating system for video screens (cloud-based communication systems preferred) that allow remote access, content scheduling, and system diagnostics. Include parts warranty and maintenance contract ( 5 year and 10 year options) These should include routine maintenance, troubleshooting, software updates, and emergency support. Other warranties applicable-any included warranties, guarantees, etc. the proposer has to offer as part of the resulting contract. A minimum of 5 years parts warranty is required. The total proposal price must be for a turn key job. Which includes, but is not limited to, all materials, supplies, labor, machinery, equipment, tools, superintendence and coordination with work of all other trades, freight & delivery (FOB. Odessa, Tx.), removal, installation, inspections, training and instruction, insurance, warranty, utilization and combination of existing equipment, and any other accessories and services necessary to complete the project. The fact that a manufacturer chooses not to produce equipment and/or provide services to meet these specifications will not be considered sufficient cause to adjudge these specifications as restrictive. Where deviations from the specifications contained herein are necessary, the proposer shall state why, in their opinion, the product and/or services they offer will render equivalent reliability and performance. Failure to detail all such deviations will comprise sufficient grounds for rejection of the proposal. The proposal will be awarded to the lowest most responsible and responsive proposer as determined by the County. Ector County has the right to vet all proposers for experience, successful timely projects, and workmanship. The proposal will be awarded on the basis of the County's total requirements, to one proposer. Proposers are required to proposal on all of the items. An item or items that do not have a proposal will be considered for proposal Rejection. Proposer agrees that it shall maintain adequate insurance on the items purchased until accepted as required herein. Proposer will maintain in effect during the term of this contract any and all Federal, State, and/or local licenses and permits which may be required of proposer generally.
