Reference Number 0000298858 Question Acceptance Deadline 2025/08/01 02:00:00 PM EDT Western University is advancing the development of the Bioconvergence Centre, a new, interdisciplinary research facility that will bring together researchers from science, engineering, health sciences, and medicine to support innovation in biotechnology and health-related research. This project is currently in the design phase. To facilitate the construction of the new facility, the following existing campus buildings are scheduled for full or partial demolition: Natural Sciences Centre (NSC) - Full demolition Medical Biology Laboratory (MBL) - Full demolition Kresge Building (KB) - Full demolition Health Sciences Addition (HSA) - Partial demolition Prior to demolition, Western University requires a detailed inventory of all fixed and loose assets within these buildings. This inventory will support operational planning, asset management, relocation strategy, and the evaluation of potential reuse or disposal of existing furniture, fixtures, and equipment. Scope of Work The selected Proponent will be responsible for delivering a comprehensive inventory of fixed and loose assets within the buildings identified above. Inventory services will apply across academic, laboratory, administrative, and support spaces and shall include the following components: 1. Pre-Inventory Planning and Initiation Coordinate a planning session with Western to: Confirm scope, site access requirements, and safety protocols Define asset categories to be captured (fixed, loose/mobile) Establish tagging standards and data fields to be collected 2. On-Site Asset Inventory Conduct a systematic, room-by-room asset inventory in all designated spaces Capture and tag each item with a unique identifier (barcode or QR code) Record the following data (at minimum) for each asset: Building Acronym, Department (if known), room number and name Item description, manufacturer, model, and serial number (where visible) Asset condition rating (Good / Fair / Poor / Dispose) Dimensions (width, depth, height), placement type (e.g., wall-mounted or free-standing) Photographs (overview and nameplate where accessible), stored in a secure cloud-based system and linked to the asset database Visually assess each asset and record any architectural or service-related notes as applicable 3. Post-Capture Review and Reporting Validate and compile collected data Produce an Asset Recommendation Report that includes: Categorization of each asset for retention, relocation, surplus, recycling, or disposal Summary of gaps or issues identified during inventory Provide data outputs in Excel or compatible format, with embedded photo links and clear asset categorization to support planning Official bid documents must be obtained from www.merx.com and bid submissions must be done through the Merx platform.
