The Kansas Bureau of Investigation is seeking competitive proposals from qualified vendors for Security Equipment and System Maintenance and Support. Item: Security Equipment and System Maintenance and Support Period of Contract: Upon Date of Final Signature through three (3) years (With the option to renew for three (3) additional 12-month periods) Bid Guarantee: No monetary bid guarantee required. No pre-bid conference is scheduled for this bid event. The Committee reserves the right to accept or reject any or all proposals or part of a proposal; to waive any informalities or technicalities; clarify any ambiguities in proposals; modify any criteria in this RFP; and unless otherwise specified, to accept any item in a proposal. SCOPE OF WORK: The project includes at minimum, installation (both new and upgrades), maintenance and support of all components of the security system(s) as it relates to physically securing all KBI facilities in the state of Kansas. This contract shall include professional services to install and maintain; physical measures needed and recommended as a result of a site visit on an ongoing basis. These items will consist of (but not limited to) cameras, alarms, access control system/badges, fencing, vehicle barriers, etc. The vendor must be capable of working with both Honeywell Pro-Watch and Motorola Solutions and authorized to perform installation, maintenance, and support on both companies products. In order to provide the highest level of installation, service and maintenance, the KBI shall require an ongoing Comprehensive Inventory Report to be completed collaboratively based on existing inventory currently maintained by the KBI and the potential gap found during contractor site visit for every location prior to the establishment of the service and maintenance schedule. The contractor is expected to provide a copy of the security system inventory by location to the KBI contract representative upon completion. The requirements detail the minimum amount of information to be included in the Comprehensive Inventory Report, and can be found in the KBI Security Product, Service and Maintenance Requirements section below. Once the Comprehensive Inventory Report is completed, the upgrade, maintenance and support plans per location shall be created by the contractor and sent for approval by the KBI contract representative. The contractor shall provide maintenance, service, and upgrades (as needed) for security equipment and systems for each location. Additionally, the contractor will be required to provide on-call service. Specific requirements for this service and support are located in the Maintenance section below. The contractor shall be required to provide cost estimates for replacement and upgrades of security equipment, software, firmware, and/or updates as part of the end of life maintenance plan. The contractor shall document any equipment, software, or system component that is approaching its end of life and needs to be replaced as part of the maintenance plan. Additionally, in the event the KBI opens another facility in the state of Kansas, the contractor shall supply a cost estimate for all security equipment and system components for the new facility. Prior to purchasing any equipment or system components, a Cost Sheet must be submitted and approved by the KBI contract representative. Specific requirements for this process can be found in the KBI Security Product, Service and Maintenance Requirements section below.
