PERIOD OF PERFORMANCE Any contract issued as a result of this solicitation may have an initial Period of Performance of three (3) years, with the option to extend the contract two (2) additional years. 1. Summary HHA Fountainview PFC (HHA) is seeking qualified vendors to provide comprehensive janitorial services for its facility located at 2640 Fountain View Drive, Houston, Texas. The selected vendor will be responsible for maintaining a clean, safe, and sanitary environment that meets all applicable standards, ensuring the highest level of hygiene for our employees and visitors. The janitorial services shall include daily cleaning, periodic deep cleaning, and specialized cleaning as needed. The successful bidder shall comply with all health and safety regulations, and possess the necessary certifications and insurances as outlined in this scope of work. 2. Detailed Specifications The janitorial services will encompass the following specifications and standards: A. Cleaning Frequency: o Daily cleaning of common areas and restrooms o Weekly deep cleaning of restrooms and break rooms o Monthly deep cleaning of carpets and upholstery o Quarterly window washing B. Scope of Work: o Dusting and wiping horizontal surfaces (including desks, tables, and shelves) o Cleaning and disinfecting restrooms, including sinks, toilets, stalls, and mirrors o Emptying trash receptacles and replacing liners o Cleaning and mopping floors, including vacuuming carpets and rugs o Sanitation of high-touch areas (door handles, light switches, elevator buttons) o Restocking of supplies (soap, toilet paper, paper towels) in restrooms and break areas o Removing cobwebs and monitoring for pest control C. Standards: o Cleaning shall comply with the Occupational Safety and Health Administration (OSHA) standards. o Use of environmentally safe cleaning products that meet the Green Seal standards. o Janitorial staff must follow all safety, health, and environmental regulations and protocols. 3. Service Requirements The awarded contractor will adhere to the following service requirements: A. Staffing: o All personnel must be trained in cleaning and safety protocols. o Provide background checks for all staff members that will be working on-site. o Staff must wear identification badges at all times during service hours. B. Quality Control: o Regular inspections to ensure compliance with cleaning specifications throughout the contract duration. o Vendor must establish a feedback mechanism to address issues and concerns from HHA POC. o Monthly performance reports documenting cleaning activities and any issues encountered sent to POC. C. Equipment and Supplies: o The contractor shall provide all necessary cleaning equipment and supplies, ensuring they are of professional quality. o Cleaning supplies must be stored safely and securely when not in use. o SDS (Safety Data Sheets) for all chemicals onsite at all times and are available for review. o Use of energy-efficient equipment is encouraged to minimize environmental impact. 4. Delivery Requirements The vendor must meet the following delivery requirements: A. Scheduling: o Cleaning services will be conducted during non-business hours, typically after 5:00 PM on weekdays and may include weekends as needed. o Day porter services will be Monday through Friday 8AM - 5PM o The vendor will provide a detailed cleaning schedule prior to commencement of service, which may be adjusted upon mutual agreement. B. Notification: o The vendor shall notify HHA management of any changes in schedule 24 hours in advance. o Any cleaning-related incidents or damages discovered during cleaning must be reported immediately. C. Completion of Service: o All work performed must be documented and reported on a regular basis to HHA. o A final service completion report must be generated and submitted at the end of each contract month detailing the services rendered.
