The city of Amesbury is soliciting bids for cleaning services for 1 Market Square, Amesbury, MA in accordance with MGL Ch 30B. Qualified vendors should submit bids to the Office of Administration and Finance, 62 Friend Street, Amesbury, MA by no later than 11:00 AM on December 16, 2025, at which time and place bids will be publicly opened and read. A mandatory pre-bid walkthrough will take place at 1 Market Square on December 10, 2025, at 2:45pm. Bid documents will be available starting on December 2, 2025, at 11:00 AM at amesburyma.gov/bids.aspx. The City of Amesbury reserves the right to reject any and all bids. The Contractor shall furnish cleaning services for city owned and occupied property located at 1 Market Square, Amesbury, MA 01913 pursuant to the attached Scope of Work entitled Appendix A. The Bid must contain all information pertaining to the Cleaning Services, including all required forms, references, certifications, and other requirements outlined in this Invitation for Bids. The City of Amesbury seeks services based on experience providing successful cleaning services to other agencies and jurisdiction. The City of Amesbury fully complies with federal, state, and local laws and directives governing equal opportunity, affirmative action and non-discrimination in all City activities and actively solicits bids/proposals from MBE/WBE businesses in accordance with City of Amesbury policy. Bids shall be delivered no later than the time specified, properly signed and plainly marked on the outside of the envelope: "CITY OF AMESBURY - IFB #26-05 CLEANING SERVICES FOR 1 MARKET SQUARE" addressed to: City of Amesbury, Administration and Finance, 62 Friend Street, Amesbury, MA 01913 All requests for clarification and any questions about information contained in this IFB must be directed in writing to the Amesbury Office of Administration and Finance: Rachel Billings, Procurement and Liability Manager, at billingsr@amesburyma.gov. Answers to all substantive questions will be put in writing and supplied in the form of an Addendum by email to all parties who have received a copy of the IFB. 6. No requests or questions will be accepted after Thursday, December 11, 2025. Daily Services: a) Empty all paper recycle and trash receptacles and haul to a location designated by the Public Facilities Superintendent or Building Maintenance Crew Leader. b) Vacuum all rugs, carpeted surfaces including carpet edges and corners, hallways, and public spaces, moving light furniture other than desks, bookcases, file cabinets, etc. c) Sweep and damp mop all hard surfaced floors with surface appropriate cleaning products. d) Wash all glass door panels in front entrances, inside and out. e) Spot clean all glass door inserts, sidelights, and interior glass panels. f) Clean and sanitize all bathrooms, disinfect all fixtures including door handles/knobs and light switches, toilet bowls, urinals, dispensers, stainless steel fixtures and basins with germicidal cleaner. Wash and wipe dry both sides of toilet seats, flushometers, piping, and toilet seat hinges with disinfectant. g) Clean and polish all mirrors, chrome, and enamel surfaces. a. Refill all toilet tissue, towel, and soap dispensers. h) Wash, empty and disinfect all dispensers and receptacles. i) Water coolers are to be wiped down with disinfectant. j) Clean all sinks and related countertop areas. k) Spot clean any stains found in carpeting. l) Dust, and as needed, damp wipe all tables, counter tops, chairs and all manner of furnishings. m) Clean and disinfect all elevator buttons, appropriately clean the floor, and spot clean fingerprints and smudges within the elevator. Weekly Services: a) High dust all light fixtures throughout the building. b) Wipe clean and polish any bright metal work. c) Remove kick marks from doors, wall/floor coving and hard surface flooring. d) Wipe down exterior faces of all cabinets. e) Wash bathroom walls and partitions. f) Polish all wooden furniture. g) Vacuum all cloth upholstered furniture, office chairs, sofa cushions, etc. h) Dust all furniture and ventilation grills. i) Dust all horizontal surfaces up to the height of seventy-two (72) inches above the floor, including desktops, bookshelves, window sills and ledges, baseboards, picture frames, wood moldings and all window treatments. Documents, laptops, employee belongings, and other items should not be moved, please dust around them. j) Remove cobwebs from walls and ceilings. k) Clean and disinfect all door handles and light switches. l) Clean and disinfect the breakroom stove, chairs, and refrigerator. Monthly Services: a. Spray buff and retreat all hard surface floors. b. Dust all wood slat blinds throughout the building. Weekly and monthly services may be spread out throughout the week or month, but weekly services should be performed no less than three days apart and monthly services should be performed no less than 20 days apart. For example, a vendor may wish to dust blinds in a few offices each day of the month so that the workload is spread evenly throughout the month. This plan is acceptable, but if blinds in one particular office are cleaned on the 27 th of August, cleaning them again on the 5 th of September is not acceptable.
