The work involves designing and implementing a comprehensive equipment improvement plan for thirteen fitness centers within the Cincinnati Recreation Commission network. The responsibilities include conducting a complete assessment of current fitness equipment at each site, working with CRC staff to align equipment selection with programming goals and user demographics, and developing detailed design proposals for each location, including dimensioned floor plans that maximize space usage, safety, and ADA compliance. The Offeror must supply and install new commercially durable cardio and strength equipment, reallocate and install viable repurposed equipment, and manage trade-in, repurposing, and disposal of all equipment. A comprehensive maintenance plan must be provided for all equipment, including preventative and warranty maintenance. The Offeror is also required to deliver on-site staff training, participate in a public event at one renovated center, and coordinate all services closely with CRC project leads and staff. Vendors must be able to deliver and install equipment across all sites within an agreed project timeline and offer both leasing and purchase options for equipment. Proposals must also include a five-year equipment upgrade and replacement plan. Any response made by the City will be provided in writing via Addendum. Offerors must demonstrate the ability to meet subcontracting goals: 2% MBE and 0% WBE. The appropriate forms must be completed and submitted with the proposal, verifying certification status as required. Failure to meet subcontracting requirements may result in rejection of the proposal. All proposals must be submitted electronically via the designated portal; late submissions will not be accepted. The cost of staff training and preventative maintenance must be included in the pricing proposal. The MBE subcontracting goal for this RFP is 2.0%. The WBE subcontracting goal for this RFP is 0.0% The City reserves the right to negotiate the Agreement to include any portion or portions of the services described in this RFP. The City reserves the right to reject any and all responses in total or by components. The City reserves the right to make one total award, one award for each section, multiple awards, or a combination of awards, and to exercise its judgment concerning the selection of one or more submissions, the terms of any resultant agreement(s), and the determination of which, if any, submission(s) is/are Most Advantageous to the City, as a result of this RFP process.
