The proposal for moving services must state the total hourly and daily (based on 8 hours work) rate for the service and this must be inclusive of: vehicle costs (gas/oil, maintenance, insurance, licenses), WSIB, insurance on all contents during transit for theft or damage, salaries and related benefits for one driver and one helper, provincial licensing, replacement truck or drivers during vehicle maintenance or employee absence, and bonding. The contract term is for two years with an option to extend for one additional year. The successful bidder must provide proof of employee bonding, valid driver’s licenses for operators, and annual driving abstracts to the Board. Drivers must wear visible identification and carry cell phones or pagers. The bidder must have the capability to provide extra resources on 24 hours’ notice, with equipment such as 16’ cube trucks or 26’ trucks with proper markings, GPS tracking, and appropriate safety equipment. All work must comply with Board policies and procedures, safety standards, and any federal, provincial, and local regulations. Invoicing is monthly, based on hourly rates, and payment terms are specified. Bidders must supply at least three relevant references with their submission. The contractor is responsible for site and material security, compliance with all safety standards, and proper conduct of work, including professional appearance and behavior of staff. Site visits and pre-tender examination of conditions are required. All business is conducted electronically via the specified bidding system.
